About this Production & Compliance Admin Assistant role at Jaded London
Reports to: Production Manager
Role overview:
Supports the Production Manager to ensure the smooth running and maintenance of all production across women's and men's categories for factories in Turkey, China and India, with a strong focus on materials integrity, fabric testing, and sustainability compliance throughout the production process.
Responsibilities and Duties:
- Raises and sends PO's.
- Issues product barcodes.
- Approving invoices and packing lists.
- Approve and maintain all care labels with factories, ensuring washing and care instructions meet fabric composition and regulatory requirements.
- Coordinate fabric and garment testing with labs and factories (e.g. colourfastness, shrinkage, pilling, tensile strength, country-specific requirements etc), tracking results and following up on any failures or retests.
- Maintain and monitor compliance with washing and care labelling guidelines across all product categories.
- Support the tracking of sustainability credentials for fabrics and trims (e.g. certifications, recycled content, responsible sourcing standards) and help maintain supporting documentation.
- Utilise and optimise ROI from our Sustainability partners – Sedex, Fairly-Made
- Maintain and update Airtable, including fabric testing status, care label approvals, and sustainability data.
- Organising and maintaining all samples, liaising between social and wholesale for sampling needed.
- Communicates with third party suppliers on agreements and ordering, including testing labs and certification bodies.
- Helps to chase and liaise with factories on testing timelines, fabric approvals, Wholesale Customer requirements and compliance documentation.
- Works alongside Internal team to ensure goods are delivered to our wholesale customers on time and in full and to required standards .
- Supports the wider team in all tasks as requested and general office duties, including keeping the workplace organised.
Requirements
- Demonstrates a good commercial understanding of retail, i.e. brands / sales potential / adjacencies of brands.
- Interest in or working knowledge of fabric testing processes, care labelling standards, and textile sustainability principles (training can be provided).
- Excellent Excel skills.
- Flexible work approach, great communication skills and able to liaise with all departments (including factories, testing labs, and compliance teams).
- Accuracy with great attention to detail, particularly when reviewing test reports, care labels, and compliance documentation.
- Ability to remain calm under pressure, managing multiple projects and working to tight deadlines.
- Excellent administration and organisational skills, a keen problem-solver.
- An understanding of budgets and willingness to learn.
