About the role
We're looking for an experienced Personal Assistant to support the Head of Equities and the broader Australian Equities team.
This is a varied and highly trusted role that will suit someone who enjoys working across executive support, team administration, and office coordination. You will be a key point of contact for internal and external stakeholders and play an important role in keeping the team running smoothly.
Key responsibilities
- Manage a complex executive diary, coordinate meetings, and assist with inbox management for the Head of Equities.
- Support broader team of 25 investment professionals in a standalone office environment
- Coordinate domestic and international travel, including itineraries, accommodation, and schedule changes.
- Prepare, submit, and reconcile expenses in line with company policies and processes.
- Support team meetings, offsites, events, and broader administrative activities across Australian Equities.
- Act as a professional point of contact for internal and external stakeholders.
- Assist with office operations, including supplies, facilities coordination, visitor management, and workplace presentation.
- Support onboarding activities for new team members, including workspace, access, and equipment coordination.
- Contribute to ad hoc projects and confidential business initiatives as required.
About you
- Proven experience in a Personal Assistant, Executive Assistant, Team Assistant or Office Manager role.
- Strong diary management, coordination, and prioritisation skills.
- Experience managing travel, expenses, meetings, and team administration (including coordinating RG146 accreditation).
- High level of proficiency across Microsoft Office, Outlook, and Teams.
- Excellent written and verbal communication skills with the confidence to engage a variety of stakeholders.
- Strong organisational skills with a high level of accuracy and attention to detail.
- Ability to manage confidential information with discretion and sound judgement.
- A proactive, adaptable, and service-oriented approach to supporting senior leaders and teams.
