In this role, you will coordinate the flow from customer order to final delivery, acting as the link between Sales, Project Management, Service, Logistics, Production, Finance, and the customer.

Order, Delivery & Installation Coordination

• Register and coordinate customer orders, deliveries, and installations in Microsoft Dynamics 365 or other relevant ERP/CRM systems.
• Review order details, agreed pricing, materials, and documentation before confirmation.
• Monitor order, delivery, and installation progress from order entry through completion, ensuring data accuracy and timely updates.

Internal Coordination & Customer Communication

• Plan and coordinate deliveries and installation activities internally and externally.
• Coordinate with internal teams to ensure clear information flow and timely follow-up.
• Act as the customer’s main point of contact for order status, delivery, installation scheduling, documentation, and follow-up.
• Proactively communicate deviations, delays, risks, or missing information.

Documentation, Systems & Reporting

• Maintain complete and accurate order, delivery, and installation records in relevant systems.
• Prepare and maintain order files, delivery papers, certificates, agreements, and customer documentation.
• Support internal reporting and contribute to improved transparency in the order-to-delivery process.

Invoicing Support & Commercial Accuracy

• Support invoicing preparation by ensuring accurate order, delivery, and installation data after completion.
• Verify that order values, labor hours, materials, and documentation align with the agreed scope.

Project Support & Process Improvement

• Drive small projects and minor customer cases from start to finish.
• Handle practical follow-up tasks that would otherwise fall on Project Managers or Sales.
• Contribute to process improvements and standardization within order and delivery management.

Requirements

• Experience in order coordination, delivery coordination, service coordination, project coordination, or installation management within a service, industrial, or technical environment.
• Experience with ERP/CRM systems; knowledge of Microsoft Dynamics 365 is an advantage.
• A positive, hands-on personality with a strong service mindset, can-do attitude, and the confidence to take ownership and drive tasks forward.
• Good coordination, planning, administrative, and follow-up skills.
• Comfortable managing several parallel tasks and keeping structure even when priorities change.
• Basic technical understanding and the ability to route technical questions to the right internal expert.
• Fluent in German and good working knowledge of English.
