About the role

The Operations Coordinator is responsible for coordinating and executing a wide range of administrative, customer-facing, and operational activities, ensuring assignments and projects are completed effectively and on schedule.

Essential Functions:

 ·         Manage customer portals, including order entry, invoice submission, document uploads, and customer account maintenance.

·         Coordinate with shared service teams to resolve invoice, payment, accounts receivable, and accounts payable issues.

·         Track and follow up on customer, vendor, and internal requests to ensure timely resolution.

·         Prepare and maintain business correspondence, contracts, records, and administrative documentation.

·         Coordinate office, factory, and site administrative activities, including vendor and contractor support.

·         Support facility organization, 5S initiatives, and workplace improvement activities.

·         Assist with special projects and action items assigned by management.

·         Act as a liaison between departments to ensure tasks are completed accurately and on schedule.

·         Research issues, identify appropriate contracts, and independently drive assignments to completion with minimal supervision.

·         Perform other duties assigned.


Qualifications:

 ·        High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.

·        5+ years of administrative, operations, customer service, office management, or related experience.

·        Experience supporting multiple departments in a manufacturing or industrial environment preferred.

·        Strong organizational, time management, and follow-up skills.

·        Demonstrated ability to independently prioritize work and drive assignments to completion.

·        Excellent verbal and written communication skills.

·        Proficient in Microsoft Office (Outlook, Excel, Word, Teams)

·        Experience with ERP systems (Visual and/or SAP preferred) and customer portals is a plus.

·        Ability to manage multiple projects and shifting priorities in a fast-paced environment.

·        Strong attention to detail.


Physical Requirements:

·        Must be able to perform standard office physical activities including but not limited to long periods of time in the seated position and long periods of time viewing computer monitors.
