About this Operations Advisor - Workplace Experience role at Linklaters

Linklaters · Onsite · London

About us:

Linklaters is a global law firm, providing legal services in 20 countries and through 30 offices.

Linklaters is a people business. Being best in class in the eyes of our clients means that our people must be exceptional.

We look not only for brilliant minds, but for people who will thrive in our environment: people who love working collaboratively and demonstrate the innovative, efficient, agile, entrepreneurial, and responsible mind-set we aim to bring to every interaction.

Ours is an environment of outperformance. We achieve this not with targets and incentives, but by fostering a positive, supportive, fair, and open atmosphere.

We respect and value difference but insist on inclusivity. We celebrate all aspects of diversity and challenge any form of bias. This is vital to our ability to work as one team, with a common goal.

The role:

Are you passionate about creating workplaces that work brilliantly for the people who use them?

We’re looking for an Operations Advisor – Workplace & Employee Experience to help deliver a seamless, engaging and effective workplace experience across our UK estate. Working within the Operations team, you’ll take a hands-on role across workplace services, supplier management, reporting, systems and improvement initiatives, helping us continually evolve the experience we provide for our people and clients.

It’s a varied role, combining day-to-day workplace operations with projects and longer-term improvements. You could be analysing workplace data, working with a supplier, coordinating an office move or supporting changes to the way our spaces are designed and used.

You’ll be responsible for:

  • Supporting the delivery of employee-facing workplace services across our UK estate.
  • Taking ownership of lower-tier service contracts, monitoring supplier performance and service quality.
  • Working closely with suppliers, tracking performance against agreed standards and maintaining accurate records.
  • Producing reporting and analysing data to generate workplace insights and identify opportunities to improve our services.
  • Supporting financial processes, including purchase orders, invoices and budget and cost tracking.
  • Helping maintain governance frameworks to support consistent and compliant service delivery.
  • Supporting workplace design and change initiatives, coordinating suppliers and activities while minimising disruption to the business.
  • Helping manage workplace environments and services, including wellbeing spaces, the Fitness Centre and artwork across the estate.
  • Supporting workplace and building systems and maintaining information on platforms including Glider and BIM/Revit records.
  • Managing workplace processes including storage, neighbourhood space allocations and drawing updates.
  • Taking ownership of workplace moves in line with our workplace principles.
  • Supporting the ongoing development and implementation of workplace policies, processes and principles.

What we're looking for:

We’re looking for someone who understands that a great workplace is about more than the physical environment. It’s about how spaces, services, suppliers, systems and processes come together to create a positive experience for the people using them.

You’ll be organised, proactive and comfortable balancing operational detail with the bigger picture. You’ll enjoy working with data and suppliers just as much as collaborating with colleagues and finding practical ways to improve how our workplace operates.

  • Experience in a workplace, facilities or office services role, ideally within a professional services or legal environment.
  • Experience supporting supplier and contract management, including working directly with vendors and monitoring service performance.
  • Strong reporting and data analysis skills, with the ability to turn information into clear, actionable insights.
  • Experience updating drawings using CAD.
  • Experience supporting financial processes such as purchase orders, invoicing and budget tracking.
  • Strong organisation and attention to detail, alongside a proactive and collaborative approach.
  • A genuine service-focused mindset and an interest in continuously improving the workplace experience.

What's on offer:

Joining Team Linklaters will see you qualify for a range of benefits designed to reward the vital contribution you'll be making to our success. These include:

  • Private Medical Insurance
  • Free in-house fitness centre and subsidised health club memberships
  • Free onsite GP service and periodic health assessments
