POSITION SUMMARY
The ARG Operations & Projects Officer – Hanoi provides operational and administrative support to enable the effective delivery of Academic Registrar’s Group (ARG) services, projects, and events at the Hanoi campus. The role supports the coordination of local ARG operations, including administrative processes, communications, and event logistics, ensuring activities are delivered efficiently and in alignment with established procedures. It contributes to the delivery of key ARG initiatives and institutional events, such as graduation and scholarship ceremonies, with a focus on location-based coordination and execution in Hanoi.
Working under the direction of the Manager, ARG, and with day-to-day guidance from the ARG Coordinator, the position supports workflow coordination, information management, and stakeholder communication to ensure consistent and high-quality service delivery.
During non-peak ARG periods, the role may provide cross-functional administrative support to Enrolments and Student Records activities in Hanoi, as agreed between relevant managers, while maintaining ARG as the primary function.
The role contributes to continuous improvement by identifying operational inefficiencies and supporting enhancements to processes, systems, and ways of working to improve efficiency and service quality.
Reporting line:
- Reports to: Manager, Academic Registrar’s Group
- Indirectly reports to: Coordinator, Academic Registrar’s Group (ARG) (for day-to-day operational direction and project coordination)
- Coordination Responsibilities May coordinate and provide day-to-day guidance to casual or temporary staff engaged for ARG activities and events in Hanoi. This does not include formal supervisory or people management responsibility.
- Key relationships: Academic Registrar’s Group (ARG) teams; Enrolments and Student Records teams (Hanoi); Student Connect; Academic Schools; Student and Education Portfolio (SEP) units; Communications and Events teams; Finance and Procurement; and other relevant internal stakeholders.
Reporting lines may be adjusted in line with organisational changes.
KEY ACCOUNTABILITIES
- Provide operational and administrative support to enable the effective delivery of Academic Registrar’s Group (ARG) services, projects, and activities at the Hanoi campus, ensuring tasks are completed accurately and in a timely manner.
- Coordinate day-to-day ARG administrative processes and workflows in Hanoi, including managing requests, tracking tasks, and supporting efficient and consistent service delivery aligned with established procedures.
- Support the planning and delivery of ARG projects and initiatives, including graduation and scholarship ceremonies, with a focus on local coordination, logistics, scheduling, and on-the-ground execution at the Hanoi campus.
- Act as the key coordination point for ARG activities in Hanoi, facilitating communication between central ARG teams and local stakeholders to ensure alignment, timely delivery, and effective issue resolution.
- Support the preparation, coordination, and dissemination of ARG communications, including student and staff updates, guidance materials, and web content, ensuring information is accurate, accessible, and up to date.
- Maintain and organise operational records, documentation, and information related to ARG activities in Hanoi, ensuring accuracy, accessibility, and compliance with institutional requirements.
- Support financial and administrative processes related to ARG operations and events in Hanoi, including processing purchase requests, tracking expenditures, and coordinating with Finance and Procurement in line with established procedures.
- Collaborate with internal stakeholders across the student lifecycle, including Academic Schools, Student Connect, and Enrolments and Student Records teams, to support coordinated service delivery and effective execution of ARG activities.
- During non-peak ARG periods, provide cross-functional administrative support to Enrolments and Student Records activities in Hanoi, as agreed between relevant managers, including support for local operational tasks such as student records processing, visa-related administrative activities, or other agreed services.
- Contribute to continuous improvement by identifying operational inefficiencies and supporting the implementation of practical enhancements to processes, systems, and ways of working to improve efficiency and service quality.

KEY SELECTION CRITERIA
- A relevant tertiary qualification in business administration, project management, communications, or a related discipline, or an equivalent combination of relevant experience.
- Demonstrated experience (typically 2–4 years) in administrative, operational, or project support roles, preferably within a higher education or complex organisational environment.
- Proven ability to coordinate tasks, manage competing priorities, and support the delivery of projects, events, or operational activities in a structured and timely manner.
- Strong organisational skills and attention to detail, with the ability to manage information, documentation, and processes accurately across multiple activities.
- Effective communication and interpersonal skills, with the ability to work collaboratively with a range of stakeholders and support clear and consistent information flow.
- Experience supporting the coordination of events or activities, including logistics, scheduling, and administrative processes, preferably in a multi-stakeholder environment.
- Demonstrated ability to adapt to changing priorities and support different operational areas as required, including the ability to provide cross-functional administrative support when needed.
- Familiarity with administrative and financial processes, including purchase requests, expense tracking, and coordination with finance functions.
- Proficiency in Microsoft Office and experience using enterprise systems, databases, or digital tools for administrative and operational purposes.
- Demonstrated commitment to service quality, teamwork, and continuous improvement.
