About The Role
The Office Manager will be responsible for overseeing the daily operations of our Dania Beach headquarters and its various functional departments. Acting as the operational heartbeat of our HQ, this individual will communicate regularly with department heads, relay important company information and directly assist executive leaders with operational, administrative, logistical, and travel needs.
The ideal candidate is an exceptionally organized, proactive, and polished professional who thrives in a fast-paced, entrepreneurial DTC beauty environment.
Duties and Responsibilities
Manage the executive office and HQ facilities to ensure all daily operations run efficiently, smoothly, and effectively.
Maintain a professional, welcoming, and highly organized work environment for team members, executives, and visiting partners.
Serve as the primary point of contact for executive office matters and act as a seamless operational liaison between executive leaders, local office staff, and cross-functional teams in Ohio.
Plan, coordinate, and manage executive meetings, onsite team events and celebrations, and offsite leadership conferences.
Coordinate and manage detailed travel arrangements, itineraries, and accommodations for executive office staff and leadership.
Oversee office inventory, supplies, and administrative spending to ensure all department expenses remain within budget guidelines.
Ensure all executive office documents, records, and contracts are properly organized and maintained; assist Human Resources and leadership in preparing presentations, reports, and administrative materials.
Assist in the development, rollout, and administrative maintenance of executive office strategies, workplace policies, and facility procedures
Perform other related duties and special projects as requested by the team and leadership.
Qualifications
5+ years of experience in executive office management, corporate facilities administration, or executive assistant roles within a fast-paced corporate environment.
Proven experience working with leadership/ C-Suite executives in a fast paced environment where agility and situational awareness and adaptability are essential.
Bachelor’s degree in Business Administration, Communications, or a related field is highly preferred.
Exceptional organizational, time-management, and multitasking skills with proven ability to prioritize critical tasks under tight deadlines.
Strong leadership, high emotional intelligence, and interpersonal skills with a service-oriented mindset.
Excellent written and verbal communication skills.
Absolute discretion and demonstrated ability to maintain strict confidentiality regarding sensitive corporate and leadership information.
Highly proficient with Google Workspace and modern workplace collaboration tools (e.g., Slack,Google Meet).
