About this Office Administration Team Lead role at JetBrains

JetBrains · Onsite · Belgrade, Serbia

Are you an operational lead who loves creating order out of chaos and making an office feel like a place people actually want to be? Do you know that a great workplace doesn't happen by accident, but is built through clear ownership, sharp attention to detail, and a focus on keeping people unblocked?

About JetBrains
We create intelligent software development tools for developers and teams. More than 15 million users, over 300,000 companies, and 88 of the Fortune Global Top 100 rely on our products to solve real, complex problems. Our mission is simple: make development teams more productive and AI adoptable at scale.

What you'll do
Our Belgrade office is growing, and we need someone to take ownership of its day-to-day operations. This role exists to keep the local office running seamlessly so our teams can focus on what they do best without operational friction.

You'll lead the local Office Administration team, set operational standards, and handle everything from landlord and contractor relationships to health and safety compliance and budget tracking. You'll also work with government agencies and local authorities when needed, and keep the Country Manager and wider stakeholders updated on how the office is running. Working closely with the Country Manager and cross-functional partners, you'll ensure our local space reflects our company culture, supports our growth, and remains a comfortable, welcoming environment for everyone.

Day to day, you will:

  • Lead and coordinate the day-to-day operations of the Belgrade office and ensure a smooth, comfortable workplace experience for employees.
  • Lead the local Office Administration team, coordinating workloads and allocating tasks and responsibilities effectively.
  • Support team onboarding and professional development, provide regular feedback, and manage team performance.
  • Manage relationships with the landlord, building management, office suppliers, contractors, and other external service providers.
  • Oversee office maintenance, repairs, workplace improvements, supplies, and inventory.
  • Oversee office-related expenses, invoices, and budget tracking, and support budget planning and forecasting.
  • Identify operational risks and improvement opportunities, and proactively propose solutions.
  • Coordinate office events and local employee initiatives together with relevant internal teams.
  • Ensure local office processes, including health, safety, and fire, comply with company policies and applicable local requirements.

What you'll bring

  • Comfort taking full ownership of operational areas and figuring things out independently.
  • A practical, hands-on, and proactive approach to problem-solving and space management.
  • A strong focus on clarity, order, and helping others do their best work.
  • The ability to lead with empathy, delegate effectively, and support team development.
  • Confidence managing changing priorities and keeping projects moving forward.
  • A thoughtful approach to building a welcoming, productive workplace culture.
  • Strong communication skills and the ability to work effectively with different internal and external stakeholders.

What you'll need

  • Solid experience in office management, workplace operations, or administration.
  • Experience leading or coordinating a team.
  • The proven capability to handle office budgets, invoices, and supplier contracts.
  • Experience managing external vendors, landlords, and service providers.
  • Good organizational and project management skills, with strong attention to detail.
  • The ability to manage workplace projects, space changes, and operational initiatives.
  • The ability to ensure compliance with local health, safety, and administrative requirements.
  • Fluency in English and Serbian.

What success looks like
In this role, success means running an office where operations are predictable, vendors are managed effectively, and compliance is always up to standard. Your team feels supported, local leadership has full visibility into workplace operations and budgets, and employees have a well-maintained, comfortable space where they enjoy working.
