Role summary 

Provides day-to-day coordination and administrative support for learning materials. The role helps ensure materials are organized, accurate, accessible and available to learners, facilitators and delivery teams when needed. 

Key responsibilities 

  • Support formatting, proofing, naming, filing and distribution of learning materials. 

  • Maintain tracking logs, repositories, version history and materials checklists. 

  • Coordinate basic updates, print or digital production requests, links and file organization. 

  • Partner with Materials Senior Associates, Producers and Experience Leads to confirm readiness for upcoming programs. 

  • Identify missing information, broken links, formatting issues or inconsistencies and escalate appropriately. 

  • Provide reliable administrative support across multiple programs and priorities. 

Minimum qualifications 

  • Bachelor's degree or equivalent experience. 

  • Strong written and verbal communication skills, with the ability to tailor messages for different audiences. 

  • Strong organization, prioritization, problem-solving and follow-through skills. 

  • Proficiency with Microsoft PowerPoint, Word, Excel and SharePoint; ability to learn and use learning platforms and collaboration tools. 

  • Ability to work across teams, adapt to changing priorities and deliver high-quality work in a fast-paced environment. 

  • 1+ year of administrative, coordination, learning operations, project support or related experience. 

  • Strong attention to detail and proficiency with Microsoft Office tools. 

  • Ability to follow processes, meet deadlines and communicate status clearly. 

Preferred qualifications 

  • Degree or coursework in education, instructional design, human resource development, business or a related field. 

  • Experience in professional services, public accounting, consulting or a complex matrixed organization. 

  • Experience using AI-enabled tools, learning technologies or data to improve quality, efficiency or learner experience. 

  • Experience supporting training, events, communications or materials production.
