Information Management & Technology Coordinator


The Opportunity­­


The Alberta Energy Regulator (AER) is looking for an Information Management & Technology Coordinator to provide administrative, business, and operational support across the Information Management & Technology (IMT) branch. In this role, you will help keep branch operations running smoothly by coordinating day-to-day activities, managing information, supporting leadership routines, and maintaining consistent administrative processes.


Working closely with the Specialist, IMT Executive Operations, you will support the Vice President/Chief Information Officer (CIO) office and the IMT leadership team by ensuring leaders have the right materials, information, and coordination in place to deliver on branch priorities. This role requires professionalism, discretion, and sound judgment when handling confidential or sensitive information. This is an opportunity for a highly organized, service-oriented administrative professional to contribute to meaningful work in a collaborative, fast-paced environment that supports the AER’s technology and information management priorities.


What your day-to-day will look like:

  • Provide direct administrative and operational support to the IMT VP/CIO office and leadership team, including calendar coordination, meeting scheduling, preparation of materials, and support with executive correspondence.
  • Support IMT branch operations by managing correspondence, maintaining distribution lists, coordinating meetings and branch events, tracking actions, and ensuring administrative processes align with branch priorities and corporate standards.
  • Maintain branch administrative processes and reporting, including organizational charts, staffing tracking, onboarding and offboarding coordination, financial coding support such as invoices and purchase orders, SharePoint and document organization, records management, and version control.
  • Support governance and leadership team activities by coordinating agendas, meeting logistics, materials, notes, action items, decision tracking, and follow-ups for leadership meetings and internal or enterprise forums.
  • Work closely with the Specialist, IMT Executive Operations to align administrative activities with VP/CIO priorities and support standardized processes, tools, and workflows across the executive office.
  • Coordinate with internal partners such as People Services, Finance, Procurement, Facilities, branch teams, and external stakeholders to support effective administrative follow-through.
  • Contribute to continuous improvement by identifying opportunities to streamline administrative processes, improve coordination, and enhance branch operations.

What we’re looking for in you:

  • Diploma or Certificate in an Office Professional or Administration program.
  • 5-7 years of administration experience, including at least 2 years supporting an executive leadership position.
  • Strong customer service, relationship-building, and communication skills, with the ability to draft clear correspondence, prepare materials, and work collaboratively with staff, leaders, internal partners, and external stakeholders while demonstrating professionalism, responsiveness, and sound judgment.
  • A proactive and service-oriented approach, with the ability to anticipate leadership and team needs, stay informed of priorities, and take initiative to support effective coordination.
  • Highly developed organizational and prioritization skills, with the ability to manage multiple tasks, meet deadlines, adapt to changing priorities, work through ambiguity, and maintain accuracy in a fast-paced environment while working independently and as part of a team.
  • Proficiency with Microsoft Office tools, including Outlook, Word, Excel, PowerPoint, Teams, SharePoint, OneDrive, and Copilot, with strong attention to detail in preparing, formatting, and managing documents, correspondence, tracking tools, records, and reporting.
  • Ability to quickly understand IMT branch operations, priorities, and workflows, and adapt to evolving organizational needs.
