You'll be the on-the-ground HR lead for Malaysia, working closely with our regional People team in Singapore. You'll run day-to-day HR (payroll, employee relations and hiring) and own projects that make our processes faster and simpler. This role needs someone who can work independently and make sound calls without waiting for direction.
What you'll do
Payroll & Compensation
- Run monthly Malaysia payroll from start to finish: new joiners, leavers, claims, overtime, commission and deductions
- Calculate and submit statutory contributions: EPF, SOCSO, EIS, PCB/MTD and the HRD Corp levy
- Prepare year-end filings: Form EA, Form E, CP22/CP22A/CP21
- Check payroll against the HR system and bank files before release
- Support the annual appraisal cycle: increment and bonus calculations, outcome letters, payroll files
- Answer employee questions about pay, leave and claims quickly and clearly
Employee & employer relations
- Be the first point of contact for employee questions and issues across office, retail and technician teams in Malaysia
- Run domestic inquiries, disciplinary cases, grievances and exits, with proper documentation (show-cause letters, inquiry notes, outcome letters)
- Prepare employment paperwork: contracts, confirmation letters, transfers and termination letters
- Keep practices in line with the Employment Act, Industrial Relations and Minimum Wages Order
- Manage the probation process: reminders to managers, confirmations and extensions
- Handle foreign worker and expatriate pass matters where they apply
Hiring
- Run selected hiring end to end: job posts (JobStreet, LinkedIn, Hiredly), screening, interviews, offers and onboarding
- Support retail hiring for new store openings and roadshows
- Keep candidate records up to date in our applicant tracking system
HR Projects and Operations
- Own Malaysia HR projects from scoping through to rollout, for example onboarding, HR dashboards, document templates and policy localisation
- Keep employee data accurate in our HR system and maintain headcount and HR reports for Malaysia
- Find manual, repetitive work and replace it with simple tools: Google Sheets, Slack workflows or AI tools
- Make the most of HRD Corp training claims and look into relevant government incentives
- Help with engagement work and internal communications for the Malaysia team
Requirements
- 2–4 years of HR generalist experience, ideally in a fast-moving SME, retail or a company with non-office staff
- Has run Malaysia payroll hands-on, including EPF, SOCSO, EIS, PCB and Form EA, and is very accurate with numbers
- Solid working knowledge of the Employment Act and Industrial Relations Act, including how to run a domestic inquiry
- Comfortable handling sensitive conversations with discretion and good judgement
- Strong in Google Sheets or Excel
- Works well with a manager based in another country. You take ownership and chase things to the finish
