Job Summary

This position is an integral part of the Field Education Office, in the School of Social Work. This position is a liaison between current students, their field education placements, and the School of Social Work. This position will remain in contact and abreast of the student placements assigned, work to resolve any conflicts or potential difficulties between field instructors and students and when needed, to seek support/consultation from Field Education Coordinator and School Director. This position will attend at least three (3) meetings between the student and field instructor at the placement site.

This role provides grade recommendation (pass/fail) to the Field Education Coordinator as part of their interaction with each student and agency during a placement. This position will review and sign-off on all evaluative documents in a timely manner. When possible, this position will attend any training sessions for Field Education Instructors and students that occur during the term of employment.


Organizational Status
The Field Education Liaison reports to the Field Education Coordinator.


This is an hourly position, with the expectation that it is part time, approximately 14 hours per week.

Work Performed

  • Acts as a liaison between students and agencies to ensure participant understanding regarding processes, requirements and expectations. Maintain an understanding of the nature of the placement to ensure a congruent fit between the educational opportunities provided by the agency, the student’s learning needs, and the MSW curriculum.
  • Performs site visitations, ensuring completion of check-in meetings and documenting relevant findings to assist in the evaluation of students in field education placements. The check-in meetings take place at the beginning, midpoint, and end of term.
  • Consults with the Field Education Instructor regarding student’s learning design. Monitors, supports and advises the Field Education Instructor regarding their role.
  • Consults with students regarding their learning objectives, progress, and/or problems in field education.
  • Facilitates resolution of concerns between the student, Field Education Instructor and/or agency. Examples of such concerns may include student performance, goodness of fit, supervision, and/or learning opportunities. Assist the Field Education Coordinator on triaging and resolving concerns or challenges related to agency relations.
  • Provides feedback and recommendations to the Field Education Coordinator regarding the quality of the practicum, available learning opportunities, and community/agency needs.
  • Maintains responsibility for field education required documents, as well as ongoing documentation of concerns, if any, regarding the student practicum.
  • Where/when requested, attends integrative seminars, with the goal of linking agency policy and experiences to the seminar course, contributing to discussion and activities. Makes recommendations to the Field Education Coordinator for applying changes.


Consequence of Error/Judgement


Exercises judgement in the writing of educational and presentation materials and in overseeing the delivery of educational program support services. Must exercise tact and diplomacy in interacting with students, staff, alumni and faculty from the UBC Okanagan campus staff to community organizations, and individual community members.

Errors in judgement or the disclosure of confidential information could result in public consequences, negatively affecting the reputation of the School of Social Work and/or resulting in embarrassment to the University of British Columbia Okanagan campus.

Failure to maintain positive relationships with agencies poorly reflects upon the School's reputation in the community. Failure to provide accurate, timely information to prospective students could dissuade students from applying to the program.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of one to two years of related experience, or an equivalent combination of education and experience.

Preferred Qualifications

  • Master of Social Work degree preferred
  • Demonstrated knowledge of social work education and acceptance of social work's professional practices, values, and ethics
  • Demonstrated interest in advocating for and assisting students to achieve their educational goals
  • Strong verbal and written communication skills
  • The ability to be creative, diplomatic, patient, tactful and culturally sensitive both orally and in writing
  • Must demonstrate sound judgment and decision-making skills
  • Demonstrated ability to effectively provide critical feedback
  • Ability to maintain accuracy and attention to detail.
  • Ability to work cooperatively and effectively with students, individually and in small and large groups.
  • Basic computer skills: Microsoft Office (Word, Excel, Access), understanding of social media and general internet skills, and database management.
  • The position may include in-person work at the UBC Okanagan campus and community partner agencies in the Okanagan Valley, as well as remote work from home. This position allows for flexible hours, with the majority of the workload taking place at the beginning, midpoint, and end of term. Documentation and other administrative duties can be completed remotely during the evenings, and meetings with students and Field Instructors often take place via zoom or telephone. As such, this position works well for those who already have part time employment or flexible fulltime work hours.

The Field Education Liaison spends approximately 50 hours per month engaging in duties performed. Some weeks will be heavier (during check-in meetings with students and Field Education Instructors) while other weeks may be light. The hours are flexible (days/nights); however, the Field Education Liaison will need to be available during business hours to participate in meetings with students and Field Education Instructors. These hours are made of the following components:

  • Communication and scheduling with Field Education Office, Students, and Field Education Instructors at partner agencies
  • Reviewing evaluative documentation and attending meetings
  • Providing additional supervision as needed
