As the Executive Staff Coordinator, you will assist the Airport Manager in facilitating and coordinating the work performed at the Airport into a cohesive/consolidated operation.

Executive Staff Coordinator

Works under the general supervision of Vice President and Airport Manager.

Serves in the Office of Vice President and Airport Manager at either Ronald Reagan Washington National Airport (DCA) or Washington Dulles International Airport (IAD).

Supports the Airport Manager by coordinating with staff at all levels of the organization to facilitate the necessary support of airport management activities and to ensure Office operations are conducted in accordance with appropriate policies, procedures and applicable laws or regulations. Supervises subordinate staff of administrative personnel and interns. Performs related functions.

GENERAL RESPONSIBILITIES

Facilitates the work efforts and coordinates among the various Airport Departments (e.g. Airport Operations, Engineering and Maintenance, and Airport Administration) as necessary to the work of the Airport Manager’s Office.

Coordinates the development and implementation of Airport policies, programs and operations.

Represents the Airport Manager on matters of business, working with other Airports Authority Offices, airline station managers, and retail/food and beverage developers, as necessary.

Identifies and analyzes issues concerning airlines, tenants, concessionaires, and government/civic groups related to airport operations and Airports Authority business plan and goals. Meets and coordinates with department/division managers, as needed.

Works closely with Airport Budget staff to ensure that current and future aspects of the Airport's Operation and Maintenance (O&M) expenditures are coordinated into the development and execution of the Airport's annual and 5-year O&M budgets.

Assists the Airport Manager in the application and administration of various Human Resource programs and policies; facilitates the annual PfP goal-setting and performance management planning process; works closely with airport managers/supervisors, and consults with applicable HR staff, as necessary. May coach supervisors, as necessary.

Advises Airport Manager on community relations and outreach activities at the Airport; serves as the contact person for the Airport with Federal, state and local officials and educational, business and civic organizations.

Coordinates activities of media representatives at the Airport with the Office of Communications.

Investigates and responds to requests, inquiries and complaints from the general public; may provide problem resolution or refer issues to the appropriate office for action, as needed.

Conducts research for preparing correspondence for Airport Manager; attends meetings (e.g., Board of Directors, etc.) and coordinates reports/responses concerning airport issues for the Airport Manager.

Supervises subordinate staff of administrative personnel and interns.

Conducts informal inspections of airport areas to identify possible needs for change.

Prepares written responses for the Airport Manager's signature (e.g. monthly report to Executive Vice President and COO, staff studies, annual business plan, etc.).

Performs other duties, as assigned.

QUALIFICATIONS

Seven years of progressively responsible administrative and business management experience.

Ability to perform program management functions in time-sensitive, high-visibility situations ensuring coordination and integration among related efforts.

Knowledge of and ability to perform budget and fiscal management including coordinating an operating budget with multiple, diverse accounts and reviewing expenditures.

Ability to perform communication management that includes drafting/reviewing/creating such public information documents as fact sheets, talking points and presentations.

Skill in building and leveraging business relationships to coordinate/facilitate the work of others.

Knowledge of supervisory principles and ability to manage the operations and programs of the unit/team.

Ability to make detailed analyses of data and information and make recommendations.

Ability to speak and write effectively.

Skill in using a computer and office suite software.

PREFERRED QUALIFICATIONS

Knowledge of transportation and aviation industry issues.

Knowledge of airport operational procedures, commercial aviation programs and concession activities.

EDUCATION

A Bachelor’s Degree in any field.

CERTIFICATIONS AND LICENSES REQUIRED

A state driver’s license in good standing.

NECESSARY SPECIAL FACTORS

May be subject to adverse weather conditions when visiting various Airport locations. 

Work is typically reviewed in progress and upon completion for quality, quantity, timeliness, teamwork, customer service, and other factors.

A background security investigation will be required for all new hires.
