The Senior Executive Assistant is an advanced subject matter expert, responsible for providing administrative support to the Global Chief Executive Officer.
This role requires in-depth knowledge of company operations, policies, and procedures and handles details of a highly confidential and critical nature.
The Senior Executive Assistant collects and prepares information for the Global CEO for use in discussions/meetings with other Executive level stakeholders within the organization, as well as external to the organization.
This role may also prepare presentation materials for board of director meetings and is required to make high-level contacts of a sensitive nature inside and outside of the organization.
The Senior Executive Assistant applies advanced wide-ranging experience and in-depth professional knowledge to develop and resolve complex issues in creative ways and typically exercises judgement in selecting and adapting methods or approaches to obtaining results.
- Provides administrative support to the Global CEO in support of their efforts to reach targets and deliver on strategic business objectives and goals.
- Responsible to interact and engage with other Chief/Senior Executives within the organization.
- Manages an extremely active calendar of appointments and completes expense reports.
- Composes and prepares correspondence that is confidential in nature.
- Arranges complex and detailed travel plans, itineraries, and agendas for the Global CEO.
- Collects and prepares information for Global CEO to use in discussions/meetings.
- Prepares documents to be reviewed and presented by Global CEO to the board of directors, executives and other committees.
- Makes high-level contacts of a sensitive nature inside and outside of the organization.
- Works on problems of diverse scope where analysis of data requires evaluation of identifiable factors.
- Exercises judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutions.
- Creates and distribute minutes of meetings and follows up on outstanding items.
- Accountable for drafting letters and correspondence for Global CEO and prepares reports and statistical information ensuring distribution to the relevant internal and / or external stakeholders.
- Maintain office supply inventory and other additional supplies as needed by Global CEO.
- Completes any other administrative tasks as required by the Global CEO.
- Exceptional time management skills, ensuring that own time is managed effectively, as well as the time of the Global CEO to ensure all commitments are met and deadlines are upheld.
- Discretion and the ability to maintain strict confidentiality are crucial.
- Clear and concise communication, both written and verbal, is essential for conveying information, managing correspondence, and liaising with internal and external stakeholders.
- Ability to problem-solve is essential to the handling of unexpected issues and finding creative solutions to challenges that arise.
- Ability to being adaptable and flexible is important with exceptional organizational skills.
- Proficiency with office software, calendar management tools, and other productivity software is vital.
- Ability to juggle multiple tasks and responsibilities simultaneously is crucial for keeping up with the fast-paced demands of the Global CEO's office.
- Ability to anticipate the Global CEO's needs and taking initiative to address them can be a significant advantage.
- Attention to detail is essential when managing schedules, preparing reports, and handling important documents.
- Strong project Management skills is essential for overseeing critical projects or initiatives.
- Maintaining a high level of professionalism in all interactions is essential.
- A basic understanding of financial and budgetary matters may be necessary for managing expense reports or budgets.
- Being calm under pressure and capable of handling unexpected crises or urgent situations is vital.
- Ability to take ownership of own role and staying motivated to excel is essential, especially when working independently.
- Bachelor's degree or equivalent business, management, or a related field can be particularly advantageous or related equivalent level of experience.
- Advanced demonstrated experience gained within a similar role, preferably within a global organization.
- Advanced administrative experience, especially in roles supporting high-level executives is beneficial.
- Familiarity with the global IT services industry is an advantage.
- Advanced experience dealing with international matters, cross-cultural communication, and global operations can be valuable.
- Advanced experience in managing projects or special initiatives that demonstrated the ability to handle complex tasks and responsibilities effectively.
