We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling communication, preparing reports and presentations, and ensuring that day-to-day priorities are managed efficiently.
This role requires excellent organizational skills, strong communication abilities, discretion, and the confidence to interact with internal teams, clients, vendors, and other stakeholders. The ideal candidate should be comfortable working in a fast-paced environment, managing multiple priorities, and anticipating the needs of senior executives.
Requirements
Key Responsibilities
- Manage the executive's calendar, appointments, meetings, and daily schedule, ensuring effective prioritization of commitments.
- Coordinate internal and external meetings, including scheduling, agenda preparation, meeting-room arrangements, and follow-ups.
- Handle emails, correspondence, calls, and other communications on behalf of the executive when required.
- Prepare presentations, reports, meeting notes, documents, and other business materials.
- Maintain organized records, confidential documents, contact lists, and important information.
- Track action items and follow up with relevant stakeholders to ensure timely completion of assigned tasks.
- Coordinate with internal departments and external stakeholders on behalf of the executive.
- Assist with travel planning, including flight bookings, accommodation, transportation, itineraries, and expense coordination.
- Support the executive in preparing for meetings by compiling relevant information, documents, and presentations.
- Maintain confidentiality while handling sensitive business, financial, employee, and organizational information.
- Assist with day-to-day administrative and operational activities as required.
- Coordinate events, conferences, leadership meetings, and other business engagements.
- Monitor deadlines, reminders, and important commitments to ensure nothing is missed.
- Conduct basic research and prepare summaries or information briefs whenever required.
- Support special projects and ad-hoc assignments initiated by senior leadership.
Required Qualifications
- Bachelor's degree in Business Administration, Management, Communications, or a related field preferred.
- 1–5 years of experience in an Executive Assistant, Personal Assistant, Management Assistant, or similar administrative role.
- Strong written and verbal communication skills.
- Excellent organizational and time-management abilities.
- Proficiency in MS Office, Google Workspace, calendar-management tools, and presentation software.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Strong attention to detail and follow-through.
- High level of professionalism, discretion, and confidentiality.
Good-to-Have Skills
- Prior experience supporting senior executives, founders, directors, or leadership teams.
- Experience managing complex calendars and coordinating multiple stakeholders.
- Strong knowledge of travel and itinerary management.
- Familiarity with project-management and task-tracking tools.
- Ability to prepare professional presentations and executive-level reports.
- Strong problem-solving and decision-making abilities.
- Ability to anticipate requirements and work independently with minimal supervision.
- Experience coordinating cross-functional initiatives or special projects.
