The Executive Assistant plays a central role within our Executive Support team, known for its proactive approach and commitment to excellence. As an EA, you’ll empower senior leaders by expertly managing their schedules and priorities, ensuring seamless communication, and supporting the achievement of our strategic goals. Your ability to streamline processes and collaborate across departments will enhance productivity and strengthen relationships both inside and outside the organisation. By working closely with executives, internal teams, board members, clients, and external partners, you’ll be a key contributor to our operational excellence.

Key Responsibilities

  • Enhance leadership effectiveness by expertly managing executives’ schedules and priorities, ensuring time is dedicated to strategic initiatives.
  • Deliver well-organised diaries and high-quality communications, enabling leaders to focus on business-critical decisions.
  • Facilitate seamless information flow across the organisation, supporting smooth operations and well-informed decision-making.
  • Proactively anticipate executive and business needs, driving operational efficiency and enabling timely execution of key projects.
  • Foster strong collaboration between teams and departments, helping to build cohesive working relationships across the business.
  • Build and maintain trusted relationships with stakeholders—including executives, internal teams, board members, clients, and external partners—to positively represent the organisation at every touchpoint.
  • Contribute to improved productivity and organisational success through effective prioritisation, coordination, and professional support.

Qualifications, skills and experience

Essential Requirements

  • Proven experience providing high-quality executive support, including diary management, meeting coordination, and handling confidential information.
  • Excellent organisation and prioritisation skills, with the ability to manage multiple tasks and adapt quickly to shifting priorities.
  • Strong written and verbal communication skills, able to draft clear correspondence and interact effectively at all levels.
  • Demonstrated ability to use judgement, discretion, and initiative in problem-solving and decision-making.
  • Proficient in Microsoft Office (including Outlook, Word, Excel, and PowerPoint), with the ability to quickly learn new software tools.
  • Ability to build trusted relationships and collaborate confidently with senior leaders, internal teams, and external stakeholders.

Desirable Requirements (Development Opportunities)

  • Exposure to supporting board-level meetings and preparing governance documents.
  • Familiarity with working in a fast-paced, matrixed environment.
  • Opportunity to gain experience within the insurance or financial services sector, though transferable skills from other industries are equally welcome.
