With a strong product culture, collaborative work environment, and significant growth potential, Irth offers an exciting opportunity to contribute to a growing organization built around modern, enterprise-scale data platforms.

Position Summary

Irth is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative and operational support to the Chief Commercial Officer (CCO) and the broader Commercial organization.

Working in close partnership with the existing Executive Assistant and administrative team, this individual will help manage executive calendars, coordinate meetings and travel, support company events, and oversee select office operations. The role will also contribute to developing consistent administrative processes, improving workflows, and building scalable executive-support practices as the company grows.

This individual exercises sound judgment, anticipates needs, handles confidential information with discretion, and takes initiative to ensure executives and their teams operate efficiently.

Position Type: Full-Time
Location: Remote, with occasional on-site support at Irth's Columbus, Ohio office.

Key Responsibilities

  • Prepare meeting agendas, briefing materials, presentations, and supporting documentation.
  • Track executive priorities, important deadlines, meeting commitments, and follow-up items.
  • Provide reminders and coordinate follow-up on action items to ensure timely completion.
  • Maintain organized executive files, records, and confidential documentation.
  • Exercise sound judgment when determining which requests to prioritize, reschedule, delegate, or escalate.

2. Travel & Event Coordination

  • Coordinate domestic and international travel arrangements for the CCO and other designated executives, including flights, accommodations, ground transportation, itineraries, and expense documentation.
  • Manage logistics for internal and external meetings, conferences, webinars, company gatherings, and team-building activities.
  • Coordinate meeting spaces, technology, catering, materials, and other event requirements.
  • Anticipate logistical needs and troubleshoot issues to ensure events and meetings run smoothly.

3. Administrative Team Collaboration

  • Partner closely with the existing Executive Assistant to coordinate executive coverage and ensure consistent administrative support.
  • Collaborate with the broader administrative team to manage scheduling, communications, travel, and organizational priorities.
  • Provide backup support across leadership teams as business needs evolve.
  • Share information, maintain continuity, and establish clear processes to avoid gaps in executive support.

  • Identify opportunities to streamline workflows, improve efficiency, and introduce automation.
  • Explore and leverage AI tools and technology to improve scheduling, documentation, communication, and administrative processes.
  • Establish repeatable practices and systems that can be shared across the administrative team.
  • Help build scalable administrative infrastructure to support Irth's continued growth.

5. Office Operations & Employee Experience

  • Oversee daily office operations, including office supplies, equipment maintenance, and vendor coordination.

  • Support HR with new employee onboarding by preparing workspaces, coordinating system access, and organizing welcome packages.

  • Maintain a clean, organized, safe, and productive office environment.

  • Manage incoming and outgoing mail and packages, ensuring accurate and timely distribution.

  • Coordinate the procurement, delivery, storage, and distribution of office supplies, equipment, and materials.

Qualifications & Ideal Candidate Profile

  • Proficiency with Microsoft Office 365, Outlook, Teams, and other business productivity tools.
  • Comfort learning and using AI-enabled tools and automation technologies.
  • Strong problem-solving skills and the ability to anticipate needs rather than simply react to requests.
  • A collaborative mindset and willingness to provide flexible support across the organization.
