Our Tampa, Florida office serves as Catalent’s global corporate headquarters, supporting leadership direction and enterprise-wide operations across its worldwide network. The office is located in downtown Tampa, approximately 15 minutes from Tampa International Airport (TPA).

Position Summary

We have an opportunity for an Executive Assistant to join our team and provide proactive administrative support to senior executives. In this role, you will manage complex calendars, coordinate travel, and prepare executive-level materials. You will also support meetings and act as a key liaison across leadership teams. This position requires strong organizational skills and the ability to adapt to changing priorities.

The Role

• Provide comprehensive, proactive administrative support to senior executives, ensuring efficient day-to-day operations
• Manage complex calendars, scheduling internal and external meetings across multiple time zones, with flexibility for urgent and last-minute changes
• Coordinate domestic and international travel, including flights, ground transportation, accommodation, visas, and passport renewals
• Prepare, edit, and compile executive-level presentations, reports, dashboards, and briefing materials
• Support planning and execution of onsite and virtual meetings, including agendas, logistics, catering, and follow-up actions
• Act as a key liaison with other Executive Assistants to align schedules, travel plans, and leadership activities
• Process and reconcile travel and expense reports using Concur
• 5% annual travel expectations
• Other duties as assigned

The Candidate

Minimum Requirements

• High school diploma or equivalent required
• Minimum of three years’ experience supporting senior leaders in an executive assistant role
• Willingness to work extended hours or overtime as business needs
• Reliable transportation
• Individual may be required to sit, stand, walk regularly and occasionally lift 0-15 pounds

Preferred Skills & Background

• College degree
• Experience in a corporate or highly regulated environment (pharmaceutical or life sciences experience)
