Parsons is looking for an amazingly talented Document Controller to join our team!
In this role you will get to support the construction supervision of the ITS2020/2 project by managing all project documentation, correspondence, records, and document control processes. The Administrator / Document Controller will be responsible for receiving, tracking, registering, distributing, and maintaining project documents in accordance with established procedures, ensuring accurate records management, timely document processing, and effective support to the project team throughout the project lifecycle.
What You'll Be Doing:
- Processing project documents through all procedural steps in accordance with established document control procedures and project requirements.
- Ensuring that project document control requirements, numbering systems, approval workflows, signatures, and distribution procedures are consistently applied and maintained.
- Receiving, tracking, registering, and monitoring project documentation using the approved document management systems.
- Maintaining document databases, registers, transmittals, logs, and other project records and reports as required.
- Scanning, filing, archiving, and maintaining project documentation in both electronic and hard-copy formats.
- Maintaining project correspondence and ensuring timely distribution of incoming and outgoing documents to relevant stakeholders.
- Expediting document reviews, approvals, signatures, and releases of contractor, consultant, supplier, and internally generated documentation.
- Supporting the Resident Engineer and project staff with administrative functions including filing, correspondence management, report preparation, meeting coordination, and document retrieval
- Contributing as a team player in a deadline-driven environment and providing administrative support to ensure efficient project delivery.
- Performing other responsibilities associated with the position as may be appropriate.
What Required Skills You'll Bring:
- Diploma in any discipline from accredited institution.
- Minimum of 3 years of relevant work experience, including at least 2 years of document control experience on engineering, construction, infrastructure, or transportation projects.
- Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Working knowledge of Electronic Document Management Systems (EDMS) and document control processes.
- Experience in maintaining document registers, transmittals, correspondence logs, and project filing systems.
- Strong organizational skills with the ability to manage large volumes of project documentation accurately and efficiently.
- Good written and verbal English communication skills, with the ability to communicate effectively with project teams and stakeholders.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced project environment.
- Strong attention to detail and commitment to accuracy in document management activities.
What Desired Skills You'll Bring:
- Previous experience supporting construction supervision, transportation, ITS, infrastructure, or government projects.
- Knowledge of project correspondence procedures, document workflow processes, and records management best practices.
- Experience working with client-driven document management systems and reporting requirements.
- Arabic language skills are an advantage.
- Ability to adapt quickly to changing project requirements and provide efficient administrative support to the project team.
- Must be able to attend in-person interviews in UAE.
