Description:
The Document Control Coordinator is responsible for ensuring the accurate, timely, and controlled management of all project documentation. This role supports project teams by maintaining document control systems, ensuring proper version control, and facilitating the efficient flow of drawings and project records between internal teams, clients, and external stakeholders. The Document Controller plays a key role in maintaining documentation accuracy, compliance, and organization throughout the project lifecycle.
Responsibilities:
- Maintain and promote a strong safety culture for all employees, vendors, and customers. Follow all safety policies, procedures, and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
- Set up and maintain engineering records and document control systems and filing structures.
- Receive, log, track, and monitor supplier drawings, submittals, and project documentation.
- Enter drawing and document information into electronic databases and document control systems.
- Respond to internal and external requests for drawings, documents, and project records in a timely manner.
- Maintain accurate and organized electronic and hard-copy filing systems in accordance with project requirements.
- Ensure document version control is maintained and that only current, approved documents are in circulation.
- Distribute controlled documents to internal project teams, clients, and external stakeholders as required.
- Support project closeout by compiling, organizing, and archiving final project documentation packages.
- Uphold Michels Canada’s values, standards, and policies in all documentation and communication practices.
- Perform other duties as assigned.
Requirements:
- Administration, Engineering, or Construction is considered an asset.
- 2–5+ years of experience in document control, project administration, or a construction/engineering environment.
- Experience with document control systems (e.g., SharePoint, Procore, Aconex or similar) is an asset.
- Strong attention to detail, organization, and accuracy.
- Ability to manage multiple priorities in a fast-paced project environment.
- Strong communication skills (written and verbal).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to interpret construction drawings and project documentation is an asset.
- Ability to handle confidential information with professionalism.
- Strong teamwork skills and ability to work with project teams, clients, and external stakeholders.
- Ability to work independently with minimal supervision.
