POSITION SUMMARY
The Coordinator, Family Engagement is responsible for leading the coordination, delivery, and continuous improvement of proactive family communications, engagement initiatives, and community-building activities for
families and guardians of RMIT current students across all RMIT Vietnam campuses.
The role leads the planning and delivery of family engagement programs and communication initiatives, including events, webinars, publications, and online engagement channels, to strengthen the connection between families and the University while supporting a positive and informed student experience.
Working collaboratively with stakeholders across the University, the role contributes specialist expertise and insights to enhance family-inclusive practices, engagement approaches, and service improvement initiatives that support student transition, wellbeing, engagement, and success. The role is expected to exercise sound judgement, manage competing priorities effectively, and contribute to a student-centred, collaborative, and innovative team culture.
Key Accountabilities Summary
1. Family Communications and Information
- Lead the design and delivery of proactive and comprehensive communications across multiple channels for families and guardians of RMIT current students to ensure families remain informed, connected, and better understand the student experience and University initiatives. This includes the coordination and development of family-facing communication resources and channels such as parent guides, newsletters, articles, web content, and other engagement materials.
- Work closely with Senior Advisors, Family Services and relevant stakeholders to identify enquiry trends, emerging issues, and feedback patterns, and develop proactive communications and information initiatives to address family needs and improve service effectiveness.
2. Family Events and Community Engagement
- Lead the planning and coordination of proactive family engagement initiatives, including in-person, online and hybrid events and activities (such as Family Welcome Day, Family Weekend, webinars), to strengthen engagement with the RMIT Family Community and enhance the family experience.
- Coordinate the operational delivery of family engagement events and activities, including stakeholder coordination, communications, budgeting, logistics, and post-event evaluation, ensuring a high standard of participant experience.
- Collaborate with internal stakeholders including Global Experience, Student Connect, Wellbeing, Library, Academic Schools and other University areas to deliver family engagement initiatives that support student transition, wellbeing, engagement, and success.
3. Projects, Service Improvement and Stakeholder Collaboration
- Lead or contribute to cross-functional projects and initiatives that enhance the experience, engagement, and support provided to families and guardians of students, including contributing to broader University initiatives such as Orientation and Experience Day.
- Collaborate with Marketing and relevant stakeholders to ensure aligned messaging, engagement approaches, and family-inclusive practices across communications and engagement activities.
- Utilise family and student feedback, enquiry insights, and engagement outcomes to inform communication strategies, engagement initiatives, and continuous improvement opportunities that contribute positively to student success and wellbeing.
- Provide specialist advice and guidance on family engagement practices, communication approaches, and service delivery considerations to support consistent and effective engagement across the University, including contributing to the development of family community of practice initiatives and collaborative engagement approaches.
- Build and maintain effective working relationships with internal and external stakeholders to support coordinated service delivery, stakeholder alignment, and successful engagement outcomes.
- Produce and coordinate reports, insights, and recommendations relating to family communication and engagement activities to support service enhancement and informed decision-making.
- Actively contribute feedback and improvement suggestions to the review of administrative processes, service delivery approaches, and engagement practices through Family Connect team discussions and cross-unit collaboration. Demonstrate a student-centred, collaborative, and innovative approach to continuously enhance the student and family experience.
- Perform other tasks as assigned by the Manager, Family Connect.
Key Selection Criteria
- A Bachelor’s degree in a relevant discipline.
- Demonstrated experience in planning and coordinating events, engagement activities, or communication initiatives involving multiple stakeholders and competing priorities.
- Demonstrated ability to develop and deliver clear, engaging, and audience-appropriate communications across multiple channels for diverse audiences.
- Demonstrated ability to build and maintain effective working relationships with a diverse range of stakeholders through strong interpersonal, collaboration, and communication skills.
- Demonstrated analytical, problem-solving, and organisational skills, including the ability to identify trends, develop recommendations, and contribute to service improvements and engagement initiatives.
- High level written and verbal communication skills in both Vietnamese and English, with the ability to convey information clearly and effectively to different audiences.
- Demonstrated ability to work collaboratively and flexibly in a high-volume, customer-focused environment, while effectively managing competing priorities and deadlines.
- Demonstrated commitment to continuous improvement, innovation, and student-centred service delivery.
- Ability to display appropriate behaviours in line with the position, RMIT Values and RMIT Leadership Model.
