Job Summary

The Contracts processor is an entry-level professional within Contract Operations who supports commercial contracting activities across Qualifacts platforms. This role is responsible for preparing, reviewing, routing, processing, and maintaining customer contract documents and related commercial records. The Contracts Processor applies established contracting policies, procedures, templates, and approval requirements to determine appropriate next steps for routine transactions; identifies discrepancies or exceptions; and partners with internal stakeholders to resolve or escalate issues. The role helps ensure customer agreements accurately reflect approved business terms, are processed efficiently, and are maintained in accordance with company requirements.

Essential Job Responsibilities

  • Contract Preparation & Processing – Support day-to-day commercial contracting activities for new logo, renewal, upsell/cross-sell, service change, and other customer transactions through the preparation, review, routing, processing, and maintenance of Service Change Forms, Statements of Work, amendments, vendor agreements, and other contract documents.

  • Contract Review & Validation – Prepare and modify standard customer amendments and other contract documents using approved templates, source data, and standard language; verify that documents and Salesforce records accurately reflect customer and entity information, products or services, effective dates, pricing, approvals, and other required commercial terms.

  • Policy & Approval Compliance – Apply established contract policies, procedures, and approval guidelines to determine the appropriate process and routing for routine transactions. Identify non-standard terms, missing approvals, data discrepancies, or process exceptions and resolve or escalate them as appropriate.

  • Cross-Functional Coordination – Coordinate with Sales, Account Management, Finance, Legal, Billing, and other internal partners to clarify deal information, obtain required approvals, resolve routine contracting questions, and keep transactions moving within established service-level expectations.

  • Deal & Contract Operations Support – Validate commercial terms and supporting documentation against approved transaction records and company requirements; provide contract status and supporting documentation to internal stakeholders as needed.

  • Systems of Record & Documentation – Maintain Salesforce and contract repositories as accurate systems of record by updating transaction status, preserving executed documents, applying required naming conventions, and maintaining complete and auditable contract files.

  • Quality Assurance & Queue Management – Perform quality assurance reviews of contract dashboards, queues, and records; research outstanding or aging items, take appropriate follow-up action, and escalate items that may place service-level commitments or transaction accuracy at risk.

  • Issue Research & Resolution – Research routine contract and process questions using available systems, policies, templates, and documentation; consult with internal subject-matter experts when needed and communicate the appropriate resolution or next step.

  • Templates & Process Documentation – Create and maintain standard templates, checklists, and job aids for new logo, renewal, amendment, and related workflows. Identify opportunities to improve consistency, accuracy, and efficiency within established processes.

  • Operational Support & Analysis – Provide contract documentation, transaction details, and basic ad-hoc analysis to internal teams in support of customer, billing, audit, and operational needs.

  • Cross-TrainingCross-train on related Contract Operations functions and serve as a backup for other team responsibilities as needed.

Knowledge, Skills, and Abilities

  • Foundational understanding of commercial contracts, contract lifecycle, sales operations, or deal desk concepts, with the ability to learn and apply professional contracting practices.

  • Ability to interpret standard contractual and commercial information and compare it to approved templates, transaction records, policies, and procedures.

  • Ability to apply professional judgment and basic problem-solving to routine issues, determine the appropriate course of action within defined guidelines, and recognize when an issue requires escalation.

  • Strong attention to detail and commitment to accuracy, including the ability to identify discrepancies and analyze routine transaction issues.

  • Ability to manage multiple transactions in a fast-paced environment, prioritize work, and meet service-level deadlines.

  • Ability to develop productive working relationships and exchange clear, accurate information with colleagues and stakeholders across Sales, Account Management, Finance, Legal, Billing, and other functions.

  • Proficiency with Microsoft Excel and Word; experience with Salesforce or another CRM, contract-management, quoting, or enterprise business system preferred.

  • Strong written and verbal communication skills in English, including the ability to communicate transaction status, requirements, and routine issue resolution clearly and efficiently.

  • Customer-first mindset and commitment to accurate, compliant, and efficient contract processing.

Position Qualifications

  • Bachelor’s degree in business, finance, legal studies, operations, or a related field, or an equivalent combination of education and relevant work experience, is preferred.

No specific license or certification is required.

Prior Work Experience

  • 0–2 years of experience in contracts, sales operations, deal desk, order management, legal operations, finance operations, or a related business function.
