About the location:

Four Seasons Resort and Residences Dominican Republic at Tropicalia will feature 95 keys and 25 branded residential homes, 8 distinct F&B outlets, all thoughtfully designed to reflect a contemporary interpretation of the Dominican Republic’s natural beauty. Wellness will be a defining pillar of the property, delivering a holistic experience that harmonizes with the natural environment while enhancing overall wellbeing through the restorative power of nature. The sustainable luxury destination is located on a 60-acre (24 hectare) site along the pristine beachfront of Playa Esmeralda in northeastern Dominican Republic, along the southern shores of Samaná Bay. A site of breathtaking natural beauty, Tropicalia is home to a diverse ecosystem of white-sand beaches; crystalline, aquamarine water and coral reefs; mountains, forests, mangroves, lagoons and rivers; a working coconut plantation; and an organic farm.

Set along the unspoiled coastline of Miches, Four Seasons Resort and Residences Dominican Republic at Tropicalia will bring Four Seasons service, authentic Dominican warmth and a deep sense of place to one of the country’s most remarkable destinations. As part of our pre-opening team, you will help shape the culture, systems and guest experience from the very beginning.

About the Role

Four Seasons Resort and Residences Dominican Republic at Tropicalia is seeking a Conference Services Manager to join our pre-opening team. Reporting to the Director of Conference Services, this position will coordinate the planning and execution of group meetings, incentive programs and special events, serving as the primary liaison between clients and resort departments to ensure contractual commitments are fulfilled and every program is executed seamlessly.

What You Will Do

  • Manage assigned groups from turnover through departure, including program details, event planning, documentation, billing instructions and post-event follow-up.

  • Identify qualified supplier partners and develop a catalogue of destination experiences and services for groups.

  • Conduct planning calls and client site inspections, clarify program objectives and translate client needs into detailed event plans.

  • Support site inspections conducted by Sales colleagues by coordinating spaces, program elements and operational participation.

  • Prepare and distribute group resumes, Banquet Event Orders, rooming-list requirements, agendas and internal communications accurately and on time.

  • Coordinate guest rooms, meeting spaces, food and beverage, audiovisual services, transportation, recreation, spa and other program elements.

  • Lead pre-convention meetings and internal operational reviews to ensure clear ownership, alignment and flawless execution.

  • Identify upselling opportunities and manage program changes in accordance with contractual terms, pricing strategy and approval guidelines.

  • Provide visible leadership during events, monitor function-space setup and resolve client or guest concerns promptly while keeping relevant leaders informed.

  • Partner with Sales, Banquets, Culinary, Front Office, Housekeeping, Finance and external suppliers throughout the event lifecycle.

  • Ensure accurate billing instructions, event documentation, post-event follow-up and complete records within resort systems.

  • Support team training, development of operational standards, pre-opening projects and other Conference Services priorities as assigned.

What You Bring

  • College degree or equivalent experience in Hospitality, Event Management, Business Administration or a related field.

  • Two to three years of Conference Services, Catering, Event Planning or hotel-operations experience; previous luxury-hospitality experience is preferred.

  • Strong knowledge of group operations, Banquet Event Orders, event logistics and client communication.

  • Excellent organizational, negotiation and problem-solving skills, with exceptional attention to detail.

  • Ability to manage multiple programs, deadlines and stakeholders with composure and sound judgment.

  • Proficiency with hotel sales and catering systems, Microsoft Office and related event-planning tools.

  • Excellent written and verbal communication skills in English and Spanish.

  • Flexibility to work evenings, weekends and public holidays according to event and resort needs.
