Key Responsibilities
- Support the bid managers to fulfil the end-to-end Bid Management function by providing central management for global bid opportunity responses, including bid task assignment, tracking, collating, packaging, managing ad-hoc queries / request.
- Coordinate proposal input from a variety of stakeholders, typically involving contributions from Sales, Client Solutions, Engineering, Risk & Privacy, Security teams and more.
- Bring your organisational skills and effectively prioritise work to meet client deadlines.
- Ensure proposal documents follow corporate branding guidelines and quality standards by assisting the bid team in proof reading and formatting of proposal documents.
- Work closely with the Bid Managers to ensure key content is gathered, maintained and continuously updated in bid libraries using AI tools.
- Escalate to the Bid Management Team Lead if there are any risks, issues or dependencies which puts the submission timeline at risk.
- Attend Bid Sign On meetings, collate and distribute minutes / follow up actions.
- Support in managing and responding to the annual Vendor Due Diligence and Security assessments for our existing client base.
- Build strong relationships within the regional Sales teams, and our stakeholders.
Requirements
Key Expectations
Skills
- 2+ years’ experience in Bid coordination or similar project-based role
- Excellent written and verbal communication skills.
- Ability to present written information in a professional and concise format.
- Ability to manage and prioritise workload effectively.
- Willingness to support team with variety of cases simultaneously and ability to handle competing deadlines
- Strong attention to detail.
- Strong computer literacy, including Excel, Word, PowerPoint, Outlook packages.
- Experience in online proposal tools advantageous
- Demonstrated mindset for continuous learning and knowledge transfer
- Literacy in AI tooling
