POSITION SUMMARY

Marathon Petroleum Co. is seeking a part-time Aviation Administrative Processor. This on-site position provides administrative and scheduling support for Marathon Petroleum's Aviation team. This role is responsible for coordinating corporate flight schedules, supporting aviation operations, maintaining records and reports, communicating with passengers and flight crews, and assisting with general administrative activities that support the safe and efficient operation of company aircraft. The position requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

 

KEY RESPONSIBILITIES:  

  • Coordinate requests for travel on company aircraft and assist with scheduling flights.
  • Communicate flight schedules, trip updates, and operational information to passengers, flight crews, and internal stakeholders.
  • Support management of the flight scheduling system and distribute trip information in a timely manner.
  • Coordinate transportation, lodging, and other logistical arrangements for flight crews and passengers as needed.
  • Monitor flight progress and communicate delays, changes, or operational issues to appropriate stakeholders.
  • Maintain aviation records, scheduling information, reports, and other required documentation.
  • Assist with preparation of monthly aviation reports and support recordkeeping requirements.
  • Coordinate with aviation leadership and approved vendors to support charter flight arrangements when necessary.
  • Provide general administrative support, including scheduling meetings, maintaining files, preparing correspondence, and supporting departmental processes.
  • Support facility operations by assisting with visitor coordination and other administrative activities as assigned.
  • Perform other duties, as assigned.
  • Part-time position averaging approximately 20 hours per week, with a flexible schedule based on business and flight operation needs. Hours may vary depending on travel activity, scheduling requirements, and special projects. 

EDUCATION AND EXPERIENCE:  

  • High school diploma or GED required.
  • Associate degree in business, aviation management, administrative support, or a related field preferred.
  • Minimum two (2) years of administrative, scheduling, customer service, aviation support, or related experience required.
  • Experience coordinating calendars, travel arrangements, logistics, or operational schedules preferred.
  • Experience working in a fast-paced environment with multiple competing priorities preferred.

SKILLS: 

  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to manage sensitive and confidential information with discretion.
  • Strong attention to detail and accuracy.
  • Proficiency with Microsoft Office applications and scheduling systems.
  • Ability to analyze information, solve problems, and make sound decisions.
  • Customer-focused approach with the ability to work effectively with all levels of the organization.
  • Ability to work independently while collaborating effectively with aviation leadership, flight crews, and business partners.

*This position belongs to a job progression with increasing responsibility, competency and skill level.  Final position title and pay grade will be based on the selected candidate’s experience and qualifications.
