Provides day-to-day operational and administrative support for the Makati office, ensuring office readiness, employee support, facilities coordination, vendor management, operational tracking, and local project execution. Serves as the primary office administration contact for Makati-based employees and supports business operations initiatives in coordination with the Office Administration team.

Essential Functions and Key Responsibilities

  • Serve as the primary point of contact for Makati office administration and employee support.
  • Manage office readiness, supplies, pantry inventory, meeting room coordination, and office activities.
  • Support onboarding, offboarding, and workplace communications.
  • Coordinate with building administration, vendors, and service providers for office operations and maintenance.
  • Monitor workplace conditions, support safety initiatives, and escalate facility concerns as needed.
  • Maintain operational trackers, documentation, and recurring administrative requirements.
  • Support compliance activities, reporting, presentations, and management updates.
  • Coordinate deliveries, vendor visits, and facility-related activities.
  • Support office projects, workplace improvements, and operational initiatives.
  • Perform other administrative and operational duties as assigned.
  • Qualifications (Required)

  • Work Setup: Onsite in Makati.
  • Working Schedule: 9:00 AM to 6:00 PM, Monday to Friday.
  • Bachelor's degree in Business Administration, Office Administration, Human Resources, Psychology, Management, or a related field.
  • Minimum 2 years of experience in office administration, business operations, shared services, or administrative support.
  • Proficient in Microsoft 365 applications, including Excel, Word, PowerPoint, Outlook, Teams, and SharePoint.
  • Strong organizational, communication, customer service, and stakeholder management skills.
  • Detail-oriented with the ability to maintain accurate records and documentation.
  • Ability to manage multiple priorities independently.
  • Qualifications (Preferred)

  • Experience in a corporate or professional services environment.
  • Experience maintaining operational trackers, reports, and documentation.
  • Experience supporting facilities operations, vendor coordination, and office projects.
  • Experience in ticket handling, shared inbox management, or service desk support.
  • Experience using Canva or similar design tools.
  • Experience preparing operational reports and business updates.
