ROLE SUMMARYThe Ward Clerk / Ward Secretary is responsible for full co-ordination of all administration within the Ward / Nursing Department. The Ward Clerk/ Ward Secretary is also responsible for receiving all new patients, visitors, and doctors in the ward and to make them feel welcome. The incumbent will further be required to assist the ward staff and the Unit Manager.
Job Summary:**
The Akeso Ward Secretary provides essential administrative and secretarial support to a specific ward within Netcare Hospitals, ensuring efficient workflow and effective communication.
Job Responsibilities:**
* Manage and maintain patient records, ensuring accuracy and confidentiality within the Hospital Information System (HIS).
* Schedule appointments, procedures, and meetings for ward staff and patients.
* Prepare and distribute various reports, memos, and correspondence.
* Answer and direct phone calls, taking messages and providing information as required.
* Order and maintain ward supplies and equipment.
* Assist with patient admissions, transfers, and discharges, completing necessary paperwork.
* Liaise with other departments and external stakeholders to facilitate ward operations.
* Provide general administrative support to nursing and medical staff.
Job Qualifications:**
* Proven experience in Office Administration and Secretarial Work, preferably within a healthcare setting.
* Proficiency in using a Hospital Information System (HIS).
* Excellent organizational and time management skills.
* Strong communication and interpersonal abilities.
* Proficient in Microsoft Office Suite (Word, Excel, Outlook).
* Ability to work independently and as part of a team.
* High level of attention to detail and accuracy.
* Relevant secretarial or administrative qualification is highly desirable.
