SCOPE OF WORK:

The Administrative Volunteer will provide administrative coordination and program support to the Country Director’s Office. The role will assist with the day-to-day coordination of the CD’s office, including meeting preparation, scheduling, documentation, correspondence and follow-up of action points.

The volunteer will also support program monitoring and coordination by maintaining trackers, compiling updates, following up on pending actions, supporting reports and presentations, and coordinating with relevant teams to ensure timely submission of information. The role will work closely with the Country Director and relevant IRC departments to facilitate effective communication, organization and follow-up of priorities, meetings and activities involving the Country Director’s Office.

RESPONSIBILITIES

• Provide day-to-day administrative support to the Country Director’s Office.
• Support scheduling, meeting coordination, preparation of agendas, minutes and action trackers.
• Follow-up on action points and pending requests arising from meetings and CD engagements.
• Maintain organized electronic and physical records for the CD’s Office.
• Support preparation of presentations, briefing notes, reports and other documents.
• Assist with monitoring program and organizational activities and maintaining relevant trackers.
• Coordinate with Programs, Operations, Finance, HR and other teams to obtain and consolidate information.
• Support the coordination of visits, events, meetings and other CD engagements.
• Assist with routine data collection, data compilation and preparation of summaries as required.
• Perform other administrative and coordination duties assigned by the Country Director or designated supervisor.

REQUIREMENTS (Qualifications, Skills and Abilities)

• Bachelor’s degree in business administration, Public Administration, Management, Development Studies, Social Sciences, International Relations, Project Management or a related field.
• Experience in a similar role or position will be an added advantage
• Excellent computer skills including MS Word, Excel, PowerPoint and Outlook
• Strong organizational and interpersonal skills
• Good basic administrative and secretarial skills
• Strong written and oral English communications skills
• Must be able to work independently while being a strong team player
• Strong skills in collaboration with multi-cultural and diverse teams
