The Opportunity:

As an administrative support analyst serving the Joint Interagency Task Force 401 (JIATF‑401), you will contribute to our team’s mission to strengthen the Department of Defense’s counter‑unmanned aircraft systems (C‑UAS) enterprise and safeguard warfighters, critical infrastructure, and the homeland. Our role is to synchronize C‑UAS efforts across the defense and interagency community by integrating threat intelligence, emerging technologies, testing, acquisition, and training to ensure timely and effective defense against small UAS threats. By enhancing shared awareness of friendly and adversarial drone capabilities, identifying operational gaps, and accelerating the delivery of validated counter‑drone solutions, JIATF‑401 empowers commanders and mission partners with the knowledge, tools, and support needed to detect, track, and defeat hostile drones across diverse operational environments.

The Administrative Analyst serves in a high-trust front office role supporting JIATF 401, a Joint Interagency Task Force reporting to the Deputy Secretary of Defense and focused on rapidly aligning authorities and resources to deliver Joint counter-small unmanned aircraft system (C-sUAS) capabilities, defeat adversary threats, and strengthen protection of U.S. and allied forces and national airspace.

This role directly supports executive effectiveness. The selected individual will help protect the Director’s time, maintain situational awareness across the Executive Staff, anticipate requirements, and remove routine friction before it reaches the Executive Division. Success in this role helps create the time, clarity, and continuity senior leaders need to make decisions and lead effectively.

Responsibilities:

  • Provides executive-level administrative, scheduling, travel, visitor, meeting, and coordination support to the JIATF 401 front office and Executive Staff.
  • Manages executive calendars using Microsoft Outlook and maintains awareness of priorities, meetings, visitors, actions, and suspense items.
  • Protects the Director’s time and attention by identifying conflicts early, anticipating needs, and resolving routine issues before they impact senior leadership.
  • Monitors and manages information flow across the front office to support timely communication, coordination, and decision-making.
  • Handles sensitive or confidential information with discretion, professionalism, and sound judgment.
  • Prepares, edits, and quality-controls correspondence, reports, spreadsheets, read-aheads, and other executive support documents.
  • Advises writers and action officers on style, syntax, grammar, and presentation to improve the clarity and effectiveness of staff products.
  • Helps maintain front office continuity through organized trackers, calendars, records, checklists, and handoff procedures.
  • Manages multiple direct reports.
  • Coordinates across the staff, keeps others informed, and elevates issues that require leadership attention or decision.
  • May train or mentor junior administrative support personnel as required.
  • Operates in accordance with front office expectations that emphasize trust, teamwork, disciplined initiative, information sharing, competence, and a bias toward fixing problems rather than passing them forward.

Qualifications:

Required:

  • BA/BS in a Relevant Field.
  • 5+ Years' Experience.
  • Proficient in MS Office Suite.
  • Proficient with Defense Travel System.
  • Demonstrated ability to support senior leaders in a high-tempo administrative or front office environment.
  • Strong organizational skills, attention to detail, professionalism, and follow-through.
  • Ability to exercise sound judgment, communicate clearly, and manage multiple competing requirements.
  • 2+ Years' Experience designing and maintaining organizational SharePoint sites.

Desired:

  • Experience supporting a headquarters, executive office, command group, or similarly complex organization.
  • Ability to improve processes, build continuity, and maintain effective administrative controls in a dynamic environment.
