Position Details


Position Summary

Under the supervision of the Director of the Women’s Gender Resource Center, the Administrative Associate for Equity/Inclusivity will perform varied advanced secretarial and administrative work for the Office. This includes providing support for the Women’s and Gender Resource Center, the Popel Shaw Center for Race and Ethnicity, the Office of LGBTQ Services, and student workers. This position may have contact with high-level administrative offices and other campus departments and must be able to respond as appropriate.

Essential Functions

  • Interpret and explain established policies and procedures in response to inquiries from a variety of sources. 5%

  • Summarizing reports and information to facilitate review by supervisor, and investigating, evaluating and resolving problems within the scope of position. 5%

  • Maintains department files, record-keeping systems, and confidential materials. 25%

  • Provides office operations support such as receiving and screening telephone calls and visitors, scheduling meetings, conference, seminars, and special events, maintaining supervisor’s calendar. 10%

  • Utilizes, maintains and updates databases, software applications, and spreadsheets. 20%

  • Generate letters, forms, reports, mailings, requests, faxes, credit card statements, office procedures, etc. 5%

  • Prepares minutes, notices, manuals, agendas and correspondence with all supporting documentation, requiring application of specialized knowledge of the assigned function. 5%

  • Monitors and updates inventory, time, budget, payroll, and account records for office, monitors expenditures and performs simple analysis on accounts, authorizes and/or approves payments within established guidelines. 25%

Other Duties and Responsibilities

  • Arranges necessary travel reservations and itineraries.

  • Anticipates, and prepares background materials needed.

  • Implements new policies, procedures, practices impacted by decisions made by directors at meetings and/or conferences.

  • Coordinates student assistants including training, payroll, etc. departmental and student development staff.

  • Other duties as determined or assigned.

Supervision

  • Not responsible for supervising others.

Education/Requirements

  • High school diploma or GED, required.

  • Bachelor's degree, preferred.

  • Additional years of directly-related office experience may substitute some education.

  • Valid driver's license, preferred.

Experience

  • 1 to 3 years of relevant experience.

Independence of Action

  • Work progress is monitored by supervisor/manager; incumbent follows precedents and procedures, and may set priorities and organizes work within general guidelines established by supervisor/manager.

Work Environment

  • Office environment/no specific or unusual physical or environmental demands.

Equipment/Tools Used

  • Standard office equipment including computer, copier/printer, etc.

  • Microsoft Office Suite.
