Mindful Support Services · Onsite · Mountlake Terrace, Washington, United States

Who We Are

Mindful Support Services is a mental health organization dedicated to improving access to quality care by supporting independent therapy and psychiatric private practices. Since 2011, we’ve provided administrative, operational, and business solutions to simplify credentialing, marketing, billing, and patient management for over 2,300 providers serving more than 32,000 patients weekly across 25+ locations and via Telehealth.

We are guided by the principles of respect, authenticity, collaboration, and perseverance, and we instill these values into everything we do — from our provider partnerships to our internal team culture.

Position Summary - Help Clinicians Build Successful Private Practices

At Mindful Support Services, we partner with mental health providers to help them build thriving private practices that meet the needs of clients across multiple states. As an Account Relationship Specialist, you will play a critical role in that journey by serving as the first account manager for new providers as they launch their practices, develop core private practice skills, and build a foundation for long-term success within their 2-year partnership with Mindful.

This role combines provider onboarding, assessment, and project management with responsibility for maintaining partnership standards. You will serve as a key gatekeeper in the provider onboarding process, evaluating readiness, identifying risks, validating requirements, and ensuring providers are fully prepared to launch and succeed within our partnership model.

We are looking for someone who is motivated by metrics and goals, enjoys solving problems and influencing outcomes, and is always looking for ways to improve results, and drive a measurable impact for both the provider and Mindful.

Key Responsibilities

Guide Providers Through Practice Launch

  • Serve as the primary point of contact for providers after initial recruitment, guiding them through onboarding, creating sustainable business plans, validating readiness for partnership, addressing barriers to launch, and ensuring successful progression through key milestones.
  • Coach providers through the transition from clinician to business owner, helping them understand the operational, financial, and professional responsibilities of running a successful private practice.
  • Create sustainable business plans, establish timelines, and monitor progress toward key onboarding milestones.
  • Help providers navigate business setup, credentialing, compliance requirements, documentation expectations, and other practice-readiness activities.
  • Assess readiness, identify barriers and risk factors, and partner with internal stakeholders to determine appropriate next steps.

Support The Transition into Active Practice

  • Lead weekly post-launch consultations focused on real-time practice challenges, business performance, client retention, scheduling habits, documentation, and sustainable practice growth.
  • Help providers understand and improve key performance indicators, including client matching, client retention, attendance, schedule utilization, marketing, and overall practice sustainability.
  • Use data and provider goals to identify barriers, guide decision-making, and create practical action plans that improve practice health.
  • Help providers develop greater ownership and self-sufficiency as they learn to manage the day-to-day responsibilities of an active private practice.

Build Trust, Influence Action & Maintain Accountability

  • Evaluate and work through potential onboarding challenges with providers, helping determine their readiness to take on the operational, financial, and professional responsibilities of business ownership.
  • Build strong provider relationships while maintaining clear expectations, professional boundaries, and accountability for commitments.
  • Identify stalled progress or disengagement, assess root causes, and facilitate direct conversations that help providers re-engage and take action.
  • Balance provider support with partnership standards, including the ability to address concerns, deliver difficult feedback, and influence progress without direct authority.

Cross Functional Partnership & Coordination

  • Act as the central coordinator between providers and internal teams, ensuring clear communication and forward progress across multiple onboarding and post-launch workstreams.
  • Partner with Credentialing, Compliance, Billing, Operations, Client Services, and Clinical Leadership to manage dependencies, resolve issues, and support successful launches.
  • Maintain visibility across multiple systems, proactively identify risks, escalate concerns, and coordinate solutions with key stakeholders.
  • Develop expertise in how onboarding, credentialing, compliance, billing, and operational processes work together so you can guide providers effectively.

What Makes Someone Successful in This Role?

  • Relationship builders who establish trust, provide coaching, and maintain accountability.
  • Comfortable having direct conversations, delivering feedback, and influencing outcomes without formal authority.
  • Highly organized and energized by managing a portfolio of providers, multiple priorities, and competing deadlines.
  • Comfortable using data and performance metrics to guide conversations, decisions, and action plans.
  • Persistent, resourceful problem-solvers who look for ways to improve processes and results.
  • Adaptable professionals who can work effectively through ambiguity, changing priorities, and evolving business needs.
  • Are Interested in the mental health field and in helping clinicians develop strong business habits and practical practice-management skills.
  • Curious learners who thrive in a fast-paced, goal-oriented environment.

Why This Role Is Different

This role is ideal for professionals who enjoy coordination, relationship management, and driving complex processes forward, but are ready for a broader challenge.

Beyond onboarding, this role supports providers through the critical early stages of practice ownership, helping them build sustainable business habits, understand performance metrics, navigate operational challenges, and develop thriving private practices.

As an Account Relationship Specialist, you will do more than manage tasks and timelines. You will serve as a key partner in evaluating provider readiness, navigating complex onboarding scenarios, coordinating across multiple departments, and helping providers successfully transition into private practice.

Success in this role requires strong judgment, problem-solving skills, adaptability, and the ability to influence outcomes in an ever-changing environment. It is an excellent opportunity for someone looking to expand beyond traditional coordination responsibilities and take on a more strategic, high-impact role.
