Job Description:

Performs high level course coordination and faculty support duties and provides specialized program support for an administrative department, college or program. Executes a wide range of duties to include coordinating the needs of course curriculum and faculty support, development and tracking of curricular materials and activities, maintaining calendars and schedules, meeting minutes, travel arrangements, purchasing, reporting, handling information requests, planning and executing events, and student liaison for course faculty.

Essential Duties and Responsibilities:

  • Provide direction and guidance to Year 1 and 2 COM students in completing the core curriculum requirements
  • Assist faculty with preparation and posting of course materials
  • Coordinate course activities through tracking of deadlines, scheduling of rooms, assignment of students, and faculty support
  • Coordinate pre/post course and department/program/committee meetings as assigned to include agenda preparation and ensuring action items are met
  • Coordinate department specific programs to include serving as primary contact, maintenance of databases and records, creation of tracking mechanisms, and reporting of data/outcomes as requested
  • Support of assigned faculty and staff to include calendar management, arranging travel, purchasing/expense reports, liaison for internal and external parties, technical assistance and event planning
  • Evaluate processes for areas of improvement continually and make recommendations to supervisor
  • Assists with project development and planning to ensure more efficient service and organization of the office
  • Assists with the planning and execution of various KCU university side events (symposiums, meetings, graduation, etc.)
  • Work under limited supervision and within established department guidelines and procedures
  • Perform other duties as assigned or directed to meet the goals and objectives of the organization and department
  • Represent department and the University favorably and in accordance with established Core Values and expectations

Qualifications:

  • Bachelor's degree and experience in higher education preferred
  • Four years of administrative experience in supporting more than one person and/or department
  • Demonstrated initiative in being proactive, anticipating needs and implementing effective action plans
  • Ability to solve problems, prioritize and multi-task in a deadline driven environment
  • Must have excellent organizational skills, be detail-oriented, and a self-starter
  • Exercise good judgment and discretion at all times
  • Ability to be flexible, and able to shift priorities as demands change
  • Excellent interpersonal skills, with ability to interact effectively and work efficiently with people at all levels in an organization
  • Excellent verbal & written communication skills
  • High level of proficiency with PC based software programs, including Microsoft Office Excel
  • Experience in higher education preferred

Physical Requirements:

  • Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead
  • Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting
  • Ability to continuously operate a personal computer for extended periods of time (4 or more hours)
  • Mental acuity sufficient to collect and interpret data, evaluate, reason, define problems, establish facts, draw valid conclusions, make valid judgments and decisions
