Responsibilities:

The David T. Kearns Center works to increase the educational outcomes of low-income, first-generation college, and underrepresented minority students across the educational pipeline.

The TRIO UB/UBMS Program Manager plays a critical role in providing comprehensive support and guidance to students enrolled in the Upward Bound (Classic) and Upward Bound Math Science Programs housed in the David T. Kearns Center for Leadership and Diversity. This program aims to increase secondary school graduation rates, access to higher education and academic success among first-generation and/or low-income students The UB/UBMS Program Manager coordinates functions of the program and assists students in navigating academic, personal, and social challenges, ultimately empowering them to achieve their educational goals. The UB/UBMS Program Manager will follow internal university and U.S. Department of Education policies and regulations, as well as policies from secondary school sites.

The UB/UBMS Program Manager provides project oversight, including advising, referrals, and information on the support services available to address student academic success. The UB/UBMS Program Manager will evaluate the effectiveness of the program’s curriculum and program activities.

Please note: The UB/UBMS Program Manager salary is funded by the U.S. Department of Education, UB and UBMS Grants. It's important to note that grant-funded positions are subject to the terms and duration of the grant. However, we are committed to providing stability and support for the duration of the grant period, and we anticipate continued funding to sustain this role.

Essential Functions:

Supervision and Project Management

• Supervise 2 FT Academic Coaches, UB/UBMS and 3-6 student employees.
• Leads the day-to-day coordination of the program under the supervision of the Manager, Academic Opportunity Programs (College) and UB/UBMS Project Director.
• Assist with budget management and decision-making.
• Maintains meticulous records in database relative to student contacts and service delivery.
• Create and coordinate publication of UB/UBMS newsletter or blog to share program news and achievement with campus community and stakeholders.
• Maintains records on UB/UBMS alumni and prepares written reports.
• Oversees the recruitment, interview, and selection process of program participants.

Outreach and Recruitment

• In conjunction with the Kearns Center Communication Specialist, prepares UB/UBMS promotional materials and press releases for area media.
• Partners with the Manager, Academic Opportunity Programs (Pre-College), and the UB/UBMS Project Director to conduct a comprehensive outreach and recruitment plan and intake and assessment plan to ensure that we are working with 126 students each year (63 students per program). Ensures UB/UBMS applicants meet federal eligibility guidelines.
• Build quality relationships across relevant academic departments, community partners, and school sites, serving as an advocate and liaison.

Academic Coaching and Student Development

• Has a student advising load of up to 40 students.
• Assesses UB/UBMS participants' educational needs and develops an educational plan to support progress and goal completion.
• Promotes student development, learning, advocacy, and success; and serves as a resource for assisting UB/UBMS participants with academic success strategies/habits, course selection, and financial literacy education. 
• Regularly monitors UB/UBMS participants' progress and, when necessary, provides and/or makes recommendations for appropriate intervention measures.
• Ensures the success of the tutoring program by training, supervising, and evaluating student and teacher tutors, monitoring participant grades, and coordinating tutoring sessions between participants and assigned tutors.
• Assures UB/UBMS participants have access to and are receiving the required services outlined in TRIO legislation and regulation.

Curriculum Development and Programming

• Leads the UB/UBMS team to develop curriculum to deliver to participants.
• Plans and oversees the annual summer camp for Upward Bound participants by planning and organizing the classes to be offered, recruiting and supervising certificated teachers, enrolling students into classes, coordinating classroom assignments, textbooks, and supplies, and providing daily supervision of camp activities and curriculum.
• Plans, organizes, and supervises events and trips designed to help develop cultural competence in Upward Bound participants by taking them to attend sporting, theatrical, historical, musical, and other educational and cultural events that they otherwise may not be able to attend.
• Partners with the Manager, Academic Opportunity Programs (College) and the UB/UBMS Project Director in developing new programming and initiatives to continually meet the changing needs of participants, including the incorporation of best practices in student success and retention efforts for first-generation and/or low-income students.

Evaluation and Reporting

• Leads the evaluation process of all program activities.
• Collects, maintains, updates, and helps the Manager, Academic Opportunity Programs (Pre-College) and the UB/UBMS Project Director to disseminate advising policy and procedure changes/updates, UR and Federal financial aid procedures, and requirements to undergraduate programs.
• Develop Academic Coach training policy and procedures, as well as helps train new Academic Coaches and assists with continual training and professional development.
• Collects and submits detailed data for year-end reports required by the Department of Education, as well as aids Program Director and Data Analyst in the submission of the APR report.

Other duties as assigned.

• 1-2x per year Air or automotive, travels with students and other staff (sometimes only with students) to research conferences and graduate school fairs/visits. Attend professional development training workshops as appropriate.

Minimum Education & Experience:

• Master's degree and 3 years of relevant experience required
• Or equivalent combination of education and experience Supervisory Experience preferred
• Experience with curricular design and assessment preferred
• Experience working with diverse student populations, particularly first-generation, low-income students and underrepresented minorities preferred.
• Knowledge of student development theories, advising principles, and academic success strategies preferred.
• Familiarity with student information systems and data management tools preferred.
• Commitment to equity, diversity, and inclusion in higher education preferred.
• Prefer some teaching experience.

Knowledge, Skills & Abilities:

• Demonstrated success in fund raising, writing grants, and/or grants administration required
• Excellent verbal and written communication skills required
• Ability to work in various environments and collaborate with individuals of different backgrounds required
• Demonstrated commitment to the value of access to higher education and the impact it has on individuals, families and communities required
• Strong interpersonal skills and ability to build rapport with students from diverse backgrounds preferred.
• Ability to work independently and collaboratively within a team environment preferred.
• Experience with Microsoft Office required, advanced Microsoft Access use preferred.
• Ability to maintain confidentiality.
