Genetic Program Assistant - High Risk Breast Program

Position Summary

The Genetic Program Assistant supports the High-Risk Breast Program by coordinating patient care activities, facilitating genetic testing workflows, maintaining patient records, and providing administrative support to our Breast Program director, advanced practice providers, physicians, and clinical staff. This role serves as a key liaison between patients, clinical teams, and external laboratories to ensure timely and efficient delivery of genetic risk assessment services.

Essential Duties and Responsibilities

  • Coordinate scheduling of patient appointments, consultations, follow-up visits, and genetic counseling sessions.
  • Obtain and verify patient demographic, insurance, and medical information.
  • Assist patients in completing required forms, family history questionnaires, and consent documentation.
  • Facilitate genetic testing processes, including test ordering, specimen tracking, and result receipt.
  • Serve as a point of contact for patients regarding appointment preparation, testing logistics, and general program information.
  • Monitor and maintain genetic testing reports, patient records, and program databases.
  • Ensure timely communication between providers, patients, laboratories, and referring physicians.
  • Prepare patient charts and supporting documentation for clinic visits.
  • Maintain compliance with HIPAA and organizational confidentiality standards.
  • Support quality improvement initiatives and data collection for program metrics.
  • Participate in multidisciplinary team meetings and assist with program coordination activities.
  • Provide administrative support including correspondence, report preparation, filing, and record management.
  • Assist with patient education materials and community outreach initiatives related to breast cancer risk awareness.

Qualifications

Education

  • High School Diploma or GED required.
  • Bachelor's degree in healthcare administration, biology, public health, psychology or related field preferred.

Experience

  • Minimum of one (1) year of healthcare, medical office, oncology, genetics, or patient navigation experience preferred.
  • Experience coordinating patient care and working within an electronic medical record (EMR) system preferred.

Knowledge, Skills, and Abilities

  • Knowledge of medical terminology.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive patient information with professionalism and confidentiality.
  • Strong attention to detail and accuracy.
  • Ability to prioritize multiple tasks in a fast-paced clinical environment.
  • Proficiency in Microsoft Office applications and EMR systems.
  • Strong customer service and patient relations skills.
  • Ability to work independently and collaboratively within a multidisciplinary team.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Ability to use a computer and standard office equipment.
  • Ability to occasionally lift up to 25 pounds.

Work Environment

  • Medical office and outpatient oncology clinic environment.
  • Frequent interaction with patients, providers, laboratory personnel, and support staff.

Reporting Relationship

Reports to:  Breast Program Director

This position plays a critical role in supporting patients at increased risk for hereditary breast cancer through efficient coordination of genetic services and compassionate patient-centered care.
