Summary

Plans and administers all policies relating to all phases of Human Resources activity by performing the following duties with assistance from the Regional Support Center Human Resources staff.

Essential Duties and Responsibilities

• Participates in company-wide Human Resources initiatives and projects, assisting with implementations at the Branch Operations level.
• Maintains applicant flow and sourcing methods; sources candidates for the Branch Operations, including placing advertisements, attending career fairs, directing sourcing, and job posting both internally and externally.
• Interviews and hires qualified candidates for Branch Operations through phone and in-person interviews, pre-employment tests, drug screens, and applicant background checks. Administers pre- and post-employment documentation, files, and obtains required licensing and other documentation.
• Completes Forms I-9, verifies I-9 documentation, and maintains I-9 files.
• Plans and conducts new employee orientation to ensure quality training of organizational policies, procedures, and culture; schedules Initial Security Officer Training (ISOT) and Pre-Assignment Training for new hire personnel.
• Provides Walden Security benefits information and assists with completing the necessary forms to enroll and cancel benefits.
• Creates and enters new employee personnel information into the HRIS.
• Keeps records of personnel actions such as hires, promotions, transfers, performance reviews, separations/terminations, and employee statistics for government reporting. Records and tracks EEO data relative to new employee applicant flow data; Maintains new applications as specified by the EEO Administrator.
• Ensures compliance with State and Federal regulations, as well as company policies and procedures. 
• Advises management in the appropriate resolution of employee relations issues; drafts counseling documents and participates in disciplinary procedures.
• Responds to employee inquiries regarding personnel policies, procedures, and programs.
• Examines employee files to answer inquiries and provides information to authorized persons.
• Answers DOL unemployment inquiries and represents the organization at personnel-related hearings and investigations.
• Prepares employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations
• Completes verification of employment requests for employees.
• Participates in company Quality Assurance initiatives, including record keeping, training, and auditing.
• Completes the filing of FMLA requests and Workers’ Compensation claims.
• Oversees any uniform assignments, exchanges, or reimbursements.
• Maintains uniform room cleanliness and inventory.
• Performs other clerical duties as needed, such as filing, photocopying, and collating.

Supervisory Responsibilities

• This position has no supervisory responsibilities.
• The Human Resources Generalist reports to the Human Resources Manager and is subject to supervision from the Human Resources Manager andthe  Regional Vice President or General Manager.

Qualifications

• Relevant Bachelor’s degree and one year of relevant experience, or three to five years of human resources management experience and/or training, or equivalent combination of education and experience.

To perform this job successfully, the Human Resources Generalist should possess intermediate to advanced skills in Microsoft Office software, including Word, Excel, Outlook, and PowerPoint, and should have working knowledge of applicant tracking systems (ATS), human resources systems (HRIS), internet programs, and order processing systems.

Certificates, Licenses, Registrations

Membership in the Society for Human Resource Management (SHRM) and maintaining PHR, SPHR, or SHRM-CP, SHRM-SCP certification is preferred.

Must be able to travel on a limited basis and on infrequent, occasional work nights and/or weekends.
Ability to pass a drug screen and criminal background check.

Supports the Benefits Manager by providing overall benefits support including handling employee questions, processing benefit enrollments and changes, invoice reconciliation, and file maintenance.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Other duties may be assigned by Human Resources:
• Assists in administering and communicating the company’s benefits programs including health and welfare (medical, dental, vision, prescription, life insurance, disability, AD&D, EAP) and retirement plans in regard to plan options, policy features, enrollment and other requirements;
• Assists employees with enrollment, eligibility, payroll deduction, and benefit claim inquires via telephone and email;
• Assists in administering leave of absence programs including Short-Term Disability (STD), FMLA, Long Term Disability (LTD), personal and military leave;
• Enters benefits-related data into computerized human resources information system;
• Coordinates filing and records management for benefits department;
• Participates in Customer Service support to provide and maintain employee satisfaction;
• Determines when appropriate to escalate issues to management, broker or carrier;
• Assists the Benefits Manager in developing annual reports for the HR/Benefits areas and provides data and trend analysis;
• Assists in development of communication materials for benefit plan changes, open enrollment, and other events;
• Assists in periodic audits of benefit plans to ensure proper eligibility, enrollment and administration;
• Ensures company compliance with federal and state laws.

• Completes monthly reports and sends out monthly birthday cards to field personnel.
• Creates and enters new employee personnel information into the HRIS.
• Participates in company Quality Assurance initiatives, including record keeping, training and auditing.
• Examines employee files to answer inquiries and provides information to authorized persons.
• Prepares weekly (ISOT) Initial Security Officer Training Books and Orientation folders for classes.
• Corresponds with Marketing Department to provide client and officer updates, awards, birthdays, training schedules (etc) to be included in the Walden Report.
• Assists with recordkeeping related to employee information such as personal data, compensation, benefits, tax data, attendance, performance reviews or evaluations, and termination date and reason.
