What You’d Do:

Data & Systems Integrity

• Data Stewardship: Own the entry and maintenance of employee data across our people systems, ensuring 100% accuracy at all times.
• Reporting & Analysis: Manage and execute regular data reporting. You’ll identify trends and provide the "story" behind the numbers to help lead our people initiatives.
• Digital Organization: Maintain department digital files with precision (resignation notes, exit summaries, performance check-ins, etc.).

Operational Support

• People Operations (Resourcing): Provide support to the resourcing function, including managing employee transitions and keeping internal org charts updated in real-time.
• Logistics Coordination: Manage internal training logistics from scheduling and platform setup to attendee tracking.
• Initiative Tracking: Act as the "closer" for key organizational initiatives, ensuring the agency stays on top of timesheets, performance check-ins, and new hire onboarding milestones.

Creative & Strategic Efficiency

• Content Creation: Assist in building decks for internal presentations that communicate our PET strategy to the wider agency.
• AI & Innovation: Help us stay ahead of the curve by researching and implementing AI tools and system hacks that streamline our workflows and create PET efficiencies.
• Ad Hoc Hustle: Tackle various special projects and administrative requests as they arise in our fast-paced environment.

The Business Affairs Manager will work with Producers, Legal, Project Management and the SVP, Global Business Affairs on overseeing content production, including broadcast, social, digital projects across clients in all of our offices. This person is a team player with an entrepreneurial spirit and able to work in a fast-paced creative environment. This role requires an intermediate level of experience, moving beyond administrative support to independently owning production workflows, talent negotiations, and risk assessment.

Key Responsibilities:

• Talent Agreements
• Materials Releases

• Minor Employment Forms
• Music license agreements
• Issue talent contracts, session reports and completion reports.
• Pay session, holding fees, usage in compliance with SAG/AFTRA/ACTRA when necessary
• Coordinate with Extreme Reach (or other client-preferred paymaster), as applicable for all talent payment
• Handle union and non-union inquiries pertaining to talent
• Negotiate talent rates with agents and/or talent for specific projects
• Forecast talent reuse on projects as needed
• Research to find appropriate rights holders and contact information
• Manage intellectual property rights and clearance acquisitions (including tracking any term limitations and advising Client teams regarding upcoming expirations)
• Attend meetings pertaining to production to help ensure the viability of a concept
• Review creative materials (concepts, storyboard, various cuts) and advise Agency teams on talent, copyright and intellectual property issues, determine where clearances are necessary, and advise on next steps.
• Review creative materials and advise and assess risk based on agency’s social media guidelines.
• Work closely with Producers in all business aspects of production
• Work with Agency legal counsel on issues including active contracts, updating releases, contract templates, risk assessment and indemnifications

Requirements

• A minimum 4-7 years of experience as a Business Manager at a creative advertising agency.
• Strong working knowledge of SAGAFTRA and non-union talent contracts
• Knowledge of music licensing, stock footage licensing and intellectual property licensing for broadcast and interactive media
• Solid knowledge of TV production and post-production process
• Working knowledge of AICP & AICE bid forms, production procedures and issues
• Exceptional written, negotiation and verbal communication skills

ABOUT THE ROLE

We are seeking a Financial Analyst to join our Global FP&A team at VaynerX. This role is focused on managing monthly P&L forecasts, collaborating with various internal stakeholders, playing a key part in the annual budgeting process, analyzing data variances, and providing necessary reporting to help management make informed business decisions. As an important player within FP&A, you will gain exposure to diverse business units, key performance indicators (KPIs) on revenue and compensation, as well as how to achieve operational efficiency. This position involves close collaboration with Commercial Finance, Accounting, Overhead (OH) Departments, Technology / Systems resources and Finance leadership.

Responsibilities

• Financial Planning & Analysis:
• Oversee the monthly forecasting process across 10+ business units, inclusive of consolidation 
• Throughout forecasting and budget cycles perform a critical assessment of assumptions, risks and opportunities 
• Create monthly revenue flash, analyzing variances between actuals and forecast, to ultimately depict impactful financial insights to CFO 
• Play an integral role in the annual budgeting cycle through supporting revenue centers and corporate groups in their internal processes, along with developing consolidated analyses to help leadership with assessing feasibility of financial projections
• Manage firm’s overhead allocation, with the goal of assigning corporate costs to business units, through specific methodologies
• Participate in the implementation of BI projects and create informed reports on vendor spend, cost analysis, and revenue trends
• Monitor, track, and identify shifts in the company’s overall benefits burden against annual budget
• Provide comprehensive support to the Finance Manager in day-to-day operations

• Collaborate with OH Department leads to understand spend across personnel, operational expenses, and various initiatives taking place within the respective departments, as well as find opportunities for investments and reductions
• Partner with Technical / Systems resources to continually identify areas for streamlining  processes and improving reporting

Qualifications

• 2-4 years experience in a finance/accounting role, preferably with FP&A specific exposure
• Bachelor’s in Accounting, Finance, Analytics, or a related field
• Experience with EPM systems, such as NSPB 
• Experience with data visualization tools (e.g., Tableau) and data warehouses (e.g., SnowFlake)
• Advanced in Microsoft Office Suite
• Experience with AI and Automation in finance/accounting is also a plus

The skills and experience you’ll bring to the role:

•  BA/BS degree and J.D. degree with admission to one or more state bars in good standing

• 1-3 years of relevant legal experience, preferably in-house or at a law firm working in digital

As a key player in our organization, you will serve as an indispensable partner for internal and external communications concerning our Executive-level leaders (Global C-Suite). We are looking for an individual who embodies and seamlessly integrates core competencies essential for success in this role: strategic mindset, project administration, stakeholder and core relationship management, and business and ecosystem awareness.
 
The Senior Executive Assistant will perform a wide variety of administrative activities for the Global C-Suite level executives while also secondarily supporting other staff members in accomplishing projects and tasks that impact the daily operations of the department.
 
What You’d Do:

• Efficiently manage executive priorities, identify potential roadblocks, calendar maintenance, appointments, and travel itineraries to optimize daily schedules.
• Schedule, prepare materials for, and attend meetings as requested by the Executive(s).
• Make travel arrangements both domestic/international, including booking flights, accommodations, and transportation, for the Executive(s) and their team members as needed.
• Be available during off hours during international travel to assist with any adjustments that may arise.
• Complete monthly expense reports with attention to detail.
• Serve as a representative for Executive(s) to facilitate cross-functional problem-solving initiatives and collaboration, while also managing document drafting, proofreading, and editing tasks.
