In this role, you’ll shield the CEO’s time, anticipate needs, and ensure operational excellence behind the scenes. This role demands extreme ownership, discretion, and the ability to operate independently at the highest level of trust 

Key responsibilities/Outcomes:

• Own and independently manage the CEO’s calendar, inbox and travel arrangements
• Prioritize, triage, and draft email responses; flag key messages and forward to relevant internal stakeholders
• Coordinate hiring processes for leadership roles handled by the CEO
• Prepare briefing notes, background summaries, and context for key meetings
• Upon request: search, analyze, and extract actionable information regarding technology and language market dynamics and changes, competitor landscape, etc.
• Manage and contribute to special projects as needed 
• Support personal administrative tasks and errands as needed

HOW YOU’LL RAMP: 

By Day 30

• Build a deep understanding of the CEO’s goals, decision-making style, time preferences, and top priorities
• Shadow existing processes for executive support and related projects
• Immerse yourself in internal tools (G-suite) and systems (Slack, Notion, Miro, etc.)
• Take over email triage, meeting preparation, and daily briefings with increasing autonomy 
• Establish a rhythm for daily check-ins and weekly syncs with the CEO

Day 60

• Audit and streamline the CEO’s calendar, identifying low-leverage meetings, time blocks for focus, and better prep flows
• Take over CEO meeting prep end-to-end (agendas, briefs, decks, notes, and follow-ups), with consistent quality
• Own travel, speaking engagement logistics, and external relationship scheduling without oversight
• Build trusted relationships with other senior leaders to help the CEO stay aligned cross-functionally

Day 90

• Be seen by the CEO as indispensable—anticipating needs, enabling faster decisions, and freeing up leadership capacity
• Drive 1–2 high-impact projects for the CEO (e.g., vendor evaluation, relocation)

Requirements:

• Fluency in English and Russian, both spoken and written
• 1+ years prior experience in a similar (administrative) role
• Outstanding organizational, time management and multitasking skills, strong attention to detail
• Proficient in G-suite tools: Google Calendar, Google Sheets, Gmail, etc.

You’ll begin identifying early upsell signals and collaborating with Mid-Market Sales on handoffs. You are expected to meet baseline renewal rate targets and maintain clean CRM records.

You will fully own your renewal segment and consistently achieve or exceed renewal rate goals. Mission

The mission of a Customer Experience Specialist at Smartcat is to address our customer’s needs by offering assistance with empathy, passion, and clear communication, collaborating closely with the product team by reporting feedback and escalating issues (feature requests, bugs, etc.) as needed. By delivering excellent support to our amazing users, you’re expected to maintain a great customer satisfaction rate in this role.

Outcomes:

• Keep the CSAT above 96%
• Ensure SLA goals are met (target > 95%)
• Passionate and ready to pick and resolve tickets from the queue (Average 50 tickets per week)
• Should learn new technologies or new offerings of the product independently (training and help will be provided)
• Should strive for the resolution of issues within 2 business days across all customers

Your responsibilities will be:

• Resolve customer requests in modern ticketing systems such as Zendesk and YouTrack
• Engage with customers via tickets during respective shifts
• Effectively take part in the rotational on-call roster to help our enterprise customers with critical issues during off-business hours. We offer on-call allowances as per the shifts.
• Brainstorm and troubleshoot complex issues
• Develop and maintain documentation for the user's help center and internal usage
• Escalate customer requests to other teams (product, infrastructure, DevOps, etc.)
• Engage and collaborate with engineers, analysts, testers, product managers, and other customer-facing teams such as the Accounts management team and Sales for a top-notch customer experience.

Requirements:

• Must have or practice consistently the values of customer obsession, empathy, ownership, and openness
• Excellent written and spoken English communication skills
• Knowledge of and experience with a blend of Python scripting, APIs, HTTP request methods, XML, JSON, different types of file structures, Xpath and Regex expressions
• Must have experience working with Zendesk and Slack
• Must have experience working in a SaaS environment in a support role
• Experience with localization and translation is a plus
• Possess exceptional troubleshooting and problem-solving skills
• Readiness to work in a highly intense startup environment requiring extreme focus, a strong sense of ownership, and persistence to breakthrough
• Openness to constructive feedback and the opinions and ideas of others
