About the Role

Nabis is seeking a reliable and motivated Operations Manager to support our downstate New York hub. This individual will be highly organized, demonstrate excellent interpersonal skills, and be motivated to take ownership of their site’s accuracy and efficiency. This role is full-time and may at times include demanding hours. This position requires prior supervisor or manager-level experience in warehouse and/or distribution logistics.

The Operations Manager will report to the New York Operations Manager and will be responsible for maintaining a complete understanding of Nabis’s central warehouse processes and the nuances of enterprise client relationships. The Operations Manager will organize, oversee, and strategize the daily site operations while working closely with other Nabis hubs. They will work cross-functionally to support the streamlining of all new & existing processes. The ideal candidate will thrive in an environment of intense pressure, short deadlines, and ever-changing requirements.

Responsibilities:

• Work holistically with the New York GM, Operations Manager, Supervisors, and Associates to ensure the timely and accurate transportation and movement of all inbound/outbound activities within the warehouse
• Track daily team performance and provide feedback and training to associates as needed
• Track and manage daily volume to ensure no disruption in SLA compliance
• Manage and make progress on all market OKRs and KPIs specifically around DOTIF, quality of service, inventory, and provide a best in class experience to our brand and retail partners
• Monitor and track team’s adherence to standard operating procedures (SOP)
• Forecast and monitor staffing needs and schedules of department associates
• Collaborate with all departments (including Central Ops, Engineering, Finance, and People) to ensure regular and productive cross-department communication
• Provide timely and professional communication to support other Nabis departments and external partner relationships
• Ensure compliance with all state and federal regulations regarding cannabis distribution, including inventory tracking and reporting
• Manage relationships with vendors and other supply chain partners

The Role

The Fleet & Facilities Coordinator is the on-site owner of fleet, facility, and safety operations at a Nabis spoke location.

This role is responsible for ensuring vehicles, equipment, and the site environment are safe, compliant, and operationally ready.

This is a hands-on role that owns daily maintenance, inspections, issue resolution, and vendor coordination. The Coordinator operates to keep the site running, while partnering with Infrastructure and Operations to ensure consistent execution of company standards.

Key Responsibilities

Fleet & Facility Operations

• Own daily fleet readiness to ensure all vehicles are operational and dispatch-ready
• Perform minor repairs and preventative maintenance (e.g., fluids, wipers, bulbs, fuses, tire changes)
• Conduct routine vehicle inspections and enforce driver pre- and post-trip compliance
• Maintain vehicle cleanliness, organization, and proper stocking of supplies
• Ensure all vehicle systems (e.g., telematics, cameras) are functioning and escalate issues as needed
• Maintain a safe, clean, and organized warehouse and fleet yard environment
• Perform regular facility walkthroughs and safety inspections, identifying and resolving issues
• Conduct recurring compliance checks (e.g., fire extinguishers, HVAC filters, dock doors, equipment)
• Support organization of shared spaces, staging areas, pallets, and equipment

Safety & Compliance

• Serve as the primary OSHA-trained safety point of contact for the site and execute site-level safety programs
• Maintain compliance with safety SOPs, signage requirements, emergency equipment protocols, and fire/life safety systems
• Conduct routine safety walkthroughs, track corrective actions, and escalate unresolved issues
• Lead site-specific onboarding and refresher training related to safety protocols and equipment use
• Lead or support incident investigations, reporting, and corrective action plans
• Coordinate with local emergency response agencies as needed
• Ensure compliance with fire, city, and regulatory requirements

Issue Triage & Vendor Coordination

• Act as the first responder for fleet and facility issues, prioritizing based on operational impact
• Coordinate vendors for diagnostics, repairs, and preventative maintenance
• Obtain quotes, schedule work, and ensure timely completion of repairs
• Monitor vendor performance and escalate issues when quality or timelines are not met
• Transport vehicles to and from service providers and provide status updates

Systems, Compliance & Documentation

• Accurately log inspections, defects, maintenance, and repairs in internal systems (e.g., Whip Around)
• Review and resolve defects to ensure data accuracy and compliance tracking
• Maintain vehicle documentation (registration, insurance, permits) and ensure records are current
• Maintain audit-ready documentation across fleet, safety, and facility operations
• Provide regular updates on fleet readiness, repairs, and site conditions

Inventory, Supplies & Site Support

• Manage inventory of supplies, tools, and basic equipment
• Monitor usage and proactively reorder supplies to prevent stockouts
• Restock fleet and facility supplies as needed
• Support daily site operations, including maintaining organization of equipment and staging areas
• Assist Operations as needed to support successful daily execution

Qualifications & Skills

• 3+ years of experience in fleet operations, facilities maintenance, warehouse operations, or similar hands-on roles
• Experience coordinating repairs, vendors, or maintenance workflows
• Strong problem-solving skills with the ability to triage and resolve issues independently
• Comfortable performing hands-on work in a warehouse and fleet environment
• Ability to manage competing priorities in a fast-paced, dynamic setting
• Strong organizational and communication skills; able to work cross-functionally
• Experience with maintenance or fleet systems (e.g., Whip Around)
• Basic proficiency in Google Sheets or Excel
• OSHA 30 and forklift certification (or willingness to obtain)
• Must be 21+ and able to lift up to 50 lbs
• Flexible availability, including early mornings or extended hours as needed

The Role
The Dispatch Supervisor's responsibility is to assist Delivery Specialists and Dispatch Associates, as they navigate product drop offs, payment pickups, and customer service communications to retailers. Other duties include viewing/preparing paperwork, assisting with vehicle loading and unloading, and scheduling delivery routes along with delegating tasks to dispatch associates.

Responsibilities: 

• Supervise the overnight intake of long-haul transfers and cross-hub shipments, ensuring all incoming products are accurately unloaded, staged, and documented in BioTrack and internal systems
• Prepare, stage, and load delivery vehicles for the upcoming delivery shift, verifying correct orders, manifests, invoices, and Biotrack alignment
• Operate lift gates, forklifts, and pallet jacks to securely move and organize pallets and product within the warehouse
• Coordinate dispatch paperwork including manifests, AP summaries, and invoices, ensuring route documentation is complete and accurate before drivers launch
• Support real-time driver communications during dispatch window, acting as point of contact for delivery questions, invoice edits, payment coordination, and retail follow-up
• Track and monitor reschedules, rejected product, and reverse logistics to minimize disruptions and ensure operational flow
• Provide leadership and task delegation to overnight dispatch associates and drivers, ensuring timely execution of all staging and vehicle prep
• Audit and update internal trackers with order status, launch updates, and inbound/outbound product movement
• Occasionally support early morning deliveries when necessary

• Requirements: 

  • Must be 21 years or older to work in the cannabis industry 
  • Cannabis experience a plus
  • Associate degree OR 2 years relevant work experience 
  • Outstanding communication and people skills
  • Knowledge of manual and systematic warehouse movement

The Role

Our Delivery Drivers at Nabis are tasked with completing local product deliveries, as well as warehouse transfers within the state. As a Delivery Driver, you will be responsible for cultivating and maintaining a positive relationship with vendors & customers, and being a knowledgeable steward for policies & regulations, while efficiently transporting and delivering products and providing top notch customer service. In this job, everyone should be happy to see you! 

We are seeking a part-time employee that is professional, cheerful, and proactive. The ideal candidate will have experience in customer service, be punctual, trustworthy and comfortable with the responsibility of delivering valuable products. This person must be experienced with operating large vehicles and have a clean record.

Responsibilities:

• Securely deliver time-sensitive packages to local retailers and facilities
• Load and unload product into vehicles upon start and end of each shift
• Conduct pre-trip vehicle inspections at the start of every shift
• Inspect and care for packages while in transit, and carefully handle company vehicles
• Ensure all required paperwork is correctly signed off on by the customer
• Apply problem-solving skills to resolve issues that arise upon delivery
• Communicate effectively with order support teams to ensure successful completion of scheduled deliveries and payment pickups
• Relate all relevant feedback from customers to management for improvements to efficiencies and customer experience 
• Act as a brand ambassador and answer questions from customers

• Comply with company security protocols, DOT regulations, NY Department of Cannabis Control regulations, and all company policies/procedures
