Office Manager - DACH (Maternity Cover - 6 months Fixed Term)

Ebury Düsseldorf Office: Office based, covering Frankfurt & Zurich offices remotely

Position

In this role, you will provide a focal point for our front-of-house and office operations for our Düsseldorf, Frankfurt & Zurich office ensuring a world-class office experience for our people and guests. You will deliver outstanding assistance to Ebury employees and visitors daily.

Responsibilities

• Office management
  • Deliver a first-class workplace experience for our employees, both office- and home-based workers, and for guests of our offices
  • Managing the primary inbound communication channels and correspondence, including phone calls, mailboxes and physical packages
  •  Assist in the planned and ad hoc maintenance and upkeep of the premises and equipment, including the required safety checks, liaising with contractors as required
  • Assist in the effective running of facilities contract services, including: building maintenance, purchasing, post room, security, cleaning, waste management, stationery, plants, coffee machine, pest control, environmental and building consultancy services
  • General office management duties including meeting room management and conference call facilitation, administration tasks like invoices, supplies and stock management of office supplies, business card administration, company merchandise, monthly office social events, summer/Xmas parties, and engagement activities,courier bookings, etc
  • Support ad hoc HR task
  • Moves and project coordination
  • Opening/Closing offices
  • Manage the landlord relationship
  • Support with Marketing events and engagement activities
• Health & Safety
  • Assist in the duty of care, health and safety programs with comprehensive policies and practices for the office- and home-based workers
  • Assist with all relevant Health & Safety staff training as necessary
• Travel
  • Assist with ad-hoc travel booking requirements for ExCo members, where required

Skills, experience & knowledge

• Demonstrable experience in office administration and/or receptionist in a corporate environment, including meeting services, events and purchasing
• Facility, health and safety experience. IOSH certification is not required, but is desired
• Hospitality experience is a plus
• Excellent interpersonal skills with proven ability to work collaboratively. Able to find pragmatic solutions and adapt to changing situations
• Strong oral and written English skills
• Fluency in German is essential
• Excellent organisational and time management skills
• Friendly individual able to take initiative
• Good at multitasking with the ability to remain calm and focused under pressure, but good at time management, setting priorities

Building Operations Manager

Ebury Leon Office - 5 days in the office

As the Building Operations Manager for Ebury’s new headquarters in León, you will be the focal point for all front-of-house and technical office operations. You will be responsible for transforming a recently acquired facility into a world-class office experience, ensuring that all complex building systems—from critical power to advanced climate control—are managed to the highest standards.

As the building owner and a 24/7 operational hub, you will act as the 'Owner’s Representative,' ensuring zero-downtime for our critical infrastructure. You will be responsible for the long-term value and resilience of the asset, moving beyond day-to-day maintenance to strategic asset management and decarbonization.

You will report directly to the Head of Global Business Services, who will serve as the primary stakeholder for local infrastructure and employee safety, and you will also have a local key stakeholder, the Head of Ebury Leon. Also, you will work in conjunction with the Leon Office Manager.

What you’ll do

What you’ll need

● Technical Education: A Bachelor’s degree in Engineering (Industrial or Electrical) is highly preferred to manage the building's high-voltage capacity and specialised HVAC systems.

● Facility Expertise & Critical Operations Experience: Proven experience managing 24/7 critical environments (e.g., Data Centres, Trading Floors, or Corporate HQs) where infrastructure failure is not an option.

● Regulatory Knowledge: Deep understanding of the Spanish Technical Building Code (CTE) regarding fire safety (DB-SI) and accessibility (DB-SUA), and thermal installation regulations (RITE).

● Technical Knowledge (Power & HVAC): Advanced knowledge of UPS systems, power redundancy (N+1), and electrical load management. Deep understanding of RITE (Thermal Installations) and F-Gas regulations regarding R-410A refrigerant management.

● Asset Management: Ability to manage "as-built" documentation and technical histories from a landlord's perspective to maintain the building's certification and value. 

● System Proficiency: Hands-on experience with BMS software and the ability to manage complex "as-built" documentation and technical histories.

● Language & Communication: Strong oral and written English and Spanish, with the ability to navigate complex negotiations with local suppliers and global stakeholders.

● Problem Solving: Analytical skills with a "customer experience" DNA, able to find pragmatic solutions for building pathologies such as condensate leaks or thermal bridging.

● Resilience: Ability to remain calm and focused under pressure, especially when managing critical equipment near the end of its life cycle.
