DH Pace Company, Inc. is seeking a highly organized and proactive Vendor Management Specialist based in our corporate office in Olathe, KS. This opportunity will support vendor operations and documentation management across the organization. This role plays a critical part in ensuring vendor compliance, maintaining documentation accuracy, and supporting internal stakeholders with timely, professional communication.

The ideal candidate thrives in a fast-paced environment, takes ownership of their responsibilities, and demonstrates exceptional attention to detail, particularly in identifying inconsistencies, gaps, or documentation discrepancies before they become issues.

Job Responsibilities:

Review, analyze, and maintain vendor documentation to ensure accuracy, completeness, and compliance with company standards.
Identify inconsistencies or discrepancies in contracts, insurance documentation, and vendor records and proactively resolve issues.
Partner with internal stakeholders to understand reporting, documentation, and compliance needs.
Coordinate the collection, tracking, and archiving of vendor-related documents within established timelines.
Draft and manage written communications related to vendor contracts and documentation requirements.
Maintain an organized and accessible vendor library, ensuring records are current and audit-ready.
Develop and manage project timelines to meet deadlines in a fast-paced environment.
Contribute to process improvements that enhance efficiency, organization, and operational effectiveness.
Provide support on cross-functional initiatives and special projects as needed.

Job Requirements:

Bachelor’s degree or continuing education in Business Administration, Operations, or a related field preferred.
2+ years of administrative, vendor coordination, contract support, or operations experience.
Demonstrated ability to work independently and take initiative with minimal supervision.
Strong time management and prioritization skills with the ability to adapt to shifting priorities.
Proactive problem-solving mindset with strong attention to detail.
Professional communication skills and a collaborative approach when working cross-functionally.
Experience with contracts, insurance documentation, construction vendors, or compliance processes is a plus.
