What We’re Looking For:

We are seeking a hands-on, data-driven Manager to join our Vendor Retrieval Operations team. This role will manage day-to-day execution across approximately 30 vendor relationships, balancing people leadership with continuous improvement and translating volume and performance data into clear priorities for our supervisors and vendor support team. This leader will drive KPI performance, support vendor and automation initiatives, and ensure inventory stays healthy while turning operational trends into practical actions for the team. We are interested in an individual who can develop relationships with leadership across our vendor partners and serve as a trusted escalation path when needed. 

What You Will Do:

Day-to-Day Operations:

• Lead daily retrieval operations, ensuring teams hit quality, turnaround time, and productivity goals.
• Monitor queues, volumes, and workflow health, adjusting plans as conditions change.
• Own execution during busy periods, escalations, and unexpected challenges to ensure continuity of operations and timely delivery.
• Keep inventory moving by setting clear priorities and delegating execution through the team, proactively flagging risks early before they escalate.

People Leadership:

• Manage and support team members with a strong emphasis on coaching, vendor performance management, and career development opportunities. 
• Provide regular feedback through one-on-ones, side-by-side coaching, and ongoing check-ins.
• Foster an environment where expectations are clear, support is accessible, and team members are positioned for success.
• Partner on hiring, onboarding, and training to build strong, engaged teams.

Improvement & Execution:

• Use performance data and team feedback to identify opportunities to improve operational effectiveness.
• Support process changes, system updates, and new workflows by guiding teams through adoption.
• Share best practices to improve consistency and efficiency in day-to-day operations.
• Support translating improvement ideas into practical, sustainable changes.

Cross-Functional Collaboration:

• Serve as an operational point of contact for assigned clients and internal partners.
• Communicate clearly and proactively with stakeholders about performance and priorities.
• Work closely with cross-functional teams such as Business Intelligence, Product, and Client Success..
• Participate in projects and working groups that support the advancement of retrieval operations.

What You Need to Succeed:

• Bachelor’s degree in a related field or equivalent practical experience.
• 4+ years of related professional experience, including at least 2 years in a people leadership or supervisory role.
• Working knowledge of provider record retrieval processes.
• Experience leading frontline, production-based operations with close involvement in daily execution.
• Demonstrated ability to coach, develop, and retain high-performing teams.
• Strong organizational, problem-solving, and decision-making skills with attention to detail.
• Ability to balance accountability with empathy, particularly during high-volume or high-pressure periods.
• Collaborative leadership style with strong interpersonal and communication skills.
• Comfort prioritizing and adapting in a fast-paced, team-based environment.
• Experience using data to guide decisions, manage KPIs, and set operational priorities.

• Flexibility to work outside standard hours as needed and travel up to 10%.

We are seeking a Vendor Support Specialist to support vendor operations through centralized review of incoming files and early identification of errors that could lead to inaccurate chart requests. This role focuses on file accuracy, pattern recognition, and clear communication with internal teams to prevent waste and improve downstream retrieval performance. The ideal candidate brings strong attention to detail, comfort working with data, and a steady approach to spotting issues and recommending improvements.

What You Will Do: 

• Review HIH files to confirm completion and accuracy.
• Identify errors that could trigger inaccurate chart requests and flag issues for correction to reduce operational waste.
• Track recurring error types and share findings with department leadership for process improvement.
• Maintain clear documentation of review outcomes, error trends, and required adjustments.
• Partner with internal teams to clarify file requirements and update review criteria as business needs change.
• Assist in root cause analysis when large scale or repeated file issues surface.
• Monitor vendor performance related to file quality and escalate concerns when thresholds are not met.
• Support training efforts by providing real examples of common errors and recommended fixes.
• Contribute to reporting on accuracy rates, trends, and the impact of QA review on downstream retrieval performance.
• Support the review of internal client-related support requests and provide timely responses via Datavant’s support ticketing system within defined SLA expectations. 
• Ensure that submitted tickets for inventory disposition changes are accurate and correctly reflect the work done.
• Review documentation quality of notes included with disposition tickets to ensure they are accurate and represent the work done

What You Need to Succeed:

• At least 2 years of professional experience in healthcare operations
• Experience with provider record retrieval workflows, financial analysis, or data analysis preferred
• Strong proficiency in Excel required, familiarity with PowerBI and/or Sigma preferred; comfortable working with data to validate accuracy and spot trends.
• Sharp attention to detail and sound judgment when reviewing inventory files and identifying potential errors.
• Ability to break down issues, document findings clearly, and work with partners to resolve problems.
• Collaborative communication style and ease working with both technical and non technical teams in a remote setting
• Comfortable identifying process gaps, suggesting improvements, and contributing to changes that improve quality and reduce waste.
• Organized and reliable, with the ability to manage repetitive review work while maintaining accuracy.

What We’re Looking for:

We are seeking a Vendor Success Lead (VSL) to join our Payer Retrieval HIH Team. This role will serve as the primary point of contact for multiple of our largest vendors, facilitating meetings, analyzing inventory, and communicating with internal stakeholders. The ideal candidate for this role will bring knowledge of the Payer industry, demonstrated ability to problem solve and execute against deadlines, and a strong ability to build trust and rapport with both internal and external stakeholders.

What You Will Do:

• Serve as the main point of contact for the department’s largest and most complex vendors, representing the company in all vendor meetings and communications
• Lead vendor meetings to review inventory statuses and drive follow-ups to ensure alignment on priorities, deliverables, and performance expectations
• Review dashboards and inventory data to deliver accurate forecast totals, set priorities, identify risks, and recommend strategies to meet client goals with vendors 
• Own day-to-day vendor management, balancing multiple projects, competing priorities, and time-sensitive escalations
• Regularly review client projects and proactively identify projects pacing behind plan to  partner with vendors to course-correct and maintain delivery timelines
• Support projects by tracking deliverables and reporting results to leadership and other internal teams 
• Monitor vendor performance and report gaps, trends, and concerns; provide weekly escalations and updates to leadership 
• Drive continuous improvement by playing an active role in creating, refining, and documenting processes, procedures, and tools, documenting all processes through standard SOPs
• Manage daily efforts to improve chart retrieval performance from vendors and ensure targets and pacing are consistently met 
• Own payment reconciliation with vendors and work with Accounts Payable to ensure accurate and timely payments
• Maintain ownership of project inventory, ensuring scheduling is executed quickly and efficiently 
• Collaborate closely with internal partners to prepare and deliver files to vendors for scheduling, ensuring all inventory is captured across projects
• Maintain and be accountable for department KPIs related to inventory management, ensuring inventory is actively worked and dispositioned appropriately

What You Need to Succeed:

• Bachelor’s degree in Business Administration, Healthcare Management, Business Analytics, Economics or related field preferred
• 2-5 years’ experience in Healthcare Technology, Medical Records or Health Information. Prior experience in account management or operations for a healthcare services company or health plan preferred
• Understanding of Risk Adjustment and Healthcare/Health IT industry experience
• Knowledge of project management principles and frameworks of successful project management from an account support perspective
• Demonstrated competency in problem solving, decision making and executing against goals and deadlines
• Ability to quickly establish rapport, credibility, trust and respect throughout the organization and with clients
• Excellent oral and written communication skills and the ability to effectively and persuasively present data
• Excellent strategic thinking and precise analytical skills; demonstrated ability to anticipate vendor needs
• Professional and positive approach, self-motivated, and conscientious team player with strong attention to detail
