Primary Responsibilities

• Understand creative process, draft creative briefs and provide ideas for improving existing executions

  • Work is completed within budget
  • Request revised estimates if revisions affecting cost are requested

Title: Senior Project Manager

Senior Project Manager 

The Senior Project Manager Supervisor is responsible for coordination efforts across an agency franchise.  He/she may manage multiple junior project management team members across the department.  He/she organizes, monitors and routes all jobs through the agency for his/her account(s).  The Senior Project Manager Supervisor keeps all team members informed of the status of their respective jobs and ensures all jobs are following the agency’s Job Flow Process (JFP). He/she handles aspects of preparing for regulatory submissions. He/she supports the Director of Project Management with new business projects, department initiatives and helps train, monitor, evaluate and supervise the workload of the department.  

  Primary Job Responsibilities  

Coordinate job flow/creative process within the Agency in an organized and efficient manner, which includes: 

• Open job number and job site on blink when requested from account service 

• Prepare and maintain job site on SharePoint to reflect accurate job history 

• Setup and attend all start-up and internal review meetings 

• Develop timelines with input from relevant departments 

• Update timelines based on client and/or internal changes (keeping accurate timelines throughout the life of a job is extremely important) 

• Remind the team of upcoming due dates and alert the other team members if agreed upon due dates are not going to be met, both internally and externally 

• Ensure timely development of color breaks and spec sheets by coordinating with Production and Art Director prior to pre-mechanical meetings 

• Schedule and attend pre-mechanical meetings for every print job. Ensure all relevant materials are brought to the meeting and be able to provide timing from mechanical to release 

• Route jobs through all relevant departments via eRouting system and secure signatures at all stages of the job. Ensure cover sheets are complete and contain all relevant information for each job 

• Schedule and attend digital build-kit handoff meetings with the internal development team (Account Services will setup when working with third-party digital vendors). Work closely with UX, AD, and Account Services to ensure all relevant materials (manuscript, functional specs, sitemap, wireframes, etc.) are prepared and QC'd internally prior to build kit hand-off meeting 

• Monitor and assist team members in following the JFP (keep documentation of any skipped steps/signatures)  

• If procedures are not followed, alert the Director of Project Management 

• In person client travel is required 

Manage the activities of junior project management team members including, but not limited to the following tasks: 

• Review dailies, nightlies, and timelines of junior project management team members for accuracy 

• Review and approve direct reports timesheets 

• Demonstrate proficient use of Dynamics for timesheets and financials 

• Review estimate vs. actuals report 

• Submit accurate timesheets on a daily basis

Title: VP, Senior Medical Director

The VP, Senior Medical Director is responsible for leading the agency team in the understanding and application of scientific/clinical account data.  A high degree of independence and sound strategic instincts regarding healthcare/pharmaceutical marketing is required.  He/she, in collaboration with his/her team, will prepare scientific and strategic analyses of data, conduct research and disseminate brand/category backgrounders, attend and prepare reports for major medical meetings, and assist the “onboarding” process for new team members. The VP, Medical Director must demonstrate clinical and technical knowledge of medicine across a broad range of oncology-focused therapeutic areas, and will provide medical direction across agency departments and review work for scientific accuracy and strategic relevance. In addition, he/she will develop relationships with leading marketing, regulatory, medical, and clinical personnel at the client as well as key opinion leaders in the  oncology field.

Title: VP, Brand Consistency

The VP, Brand Consistency reports to the SVP, Director of Editorial and is charged with ensuring consistency across a large account with multiple indications or workstreams (eg, US, Global, DTC).

Primary Responsibilities:

• Reviews every job on the brand at least twice during the life of the project to ensure consistency in messaging, brand style elements (includes charts/graphs style, footnotes, acronyms), safety requirements, and Regulatory/Client direction across all jobs ​
• Reviews Med/Legal comments when they come in to ensure they are incorporated correctly and that they get applied to any other pieces with similar content across the brand
• Communicates to Account Services (AS) team any concerns about conflicting Med/Legal comments, inconsistencies introduced by Med/Legal comments across jobs with similar content, or if more information is needed to interpret how to apply comments across multiple formats (eg, print vs digital)
• Keeps agency’s brand style guide(s) updated across brand indications, US/Global, print/digital, HCP/DTC as needed (including maintaining ISI documents on sharepoint online). This is a collaborative process with the brand editor(s), but the VP, Associate Director, Brand Consistency owns the file, updates it regularly, and shares all updates with the full brand team
• Attends all team status/start-up meetings across the brand (includes US, Global, DTC, etc)​
• Flags any foreseeable consistency issues at start-up meetings (eg, “on Global they are doing X on a similar type of piece” or “the HCP team was told to use this wording on a recent job,” etc)
• Actively participates in consistency reviews with AS and CW for pieces with shared messaging/data​

The Group Project Manager is responsible for coordination efforts across an agency franchise.  He/she may manage multiple junior project management team members across the department.  He/she supports the Associate Director of Project Management with department initiatives and helps train, monitor, evaluate and supervise the workload of the department.  

He/she organizes, monitors and routes all jobs through the agency for his/her account(s).   

Primary Job Responsibilities  

• Coordinate job flow process within the Agency in an organized and efficient manner, which includes: 

• Create and update timelines with input from relevant departments 

• Develop and distribute the Daily and Nightly internal status report  

• Coordinate and run weekly internal status meetings 

• Prepare and maintain job site on SharePoint to reflect accurate job history 

• Setup and attend all start-up and internal review meetings 

• Remind the team of upcoming due dates and alert the other team members if agreed upon due dates are not going to be met, both internally and externally
