LVT Practice Manager for The Cancer Institute

The LVT Practice Manager is part of the hospital clinical services team and assists with the organization direction, management, and evaluation of patient care services for The Cancer Institute. The LVT Practice Manager impacts the continuing goal of providing the very best in patient and customer care by promoting the philosophy, mission, and core values of the Schwarzman Animal Medical Center. 

List duties and responsibilities: (including equipment to be operated)

• Partners with the Director of Oncology, Diagnostic Imaging and Dermatology departments to evaluate the effectiveness of training programs, staff development and career ladder to ensure compliance with national standards and state regulatory requirements.

• Teams with the Oncology Service Head to plan, coordinate and manage day-to-day activities of the staff, including LVTs, Coordinators, and Veterinary Assistants

• Collaborate with the team leaders and staff to develop, continually improve, and promote quality standards for nursing care.
• Act as a working supervisor, work in a nursing capacity approximately 60% of the time.

• Operate Linear Accelerator and workings of Radiation Oncology department.
• Assisting the Director with daily operations, supervising patient care to ensure patient safety, and being responsible for learning departmental skillsets, chemotherapy preparation and delivery.
• They will also assist in meeting patient care requirements in accordance with physician instructions, hospital policies, and approved patient care standards.
• Inform appropriate personnel of needed repairs for equipment or unsafe conditions.

• Implement and assess disciplinary action and progress improvement as needed.

The Global Surgical Coordinator provides essential support to all Surgical Services, primarily on weekends and as needed for service gaps. This role ensures seamless coordination of patient care, client communication, appointment management, and procedural support across all surgical areas. The Global Coordinator also performs post-operative callbacks to ensure continuity of care. This role is critical to improving weekend surgical workflow, maintaining communication standards, and enhancing client and referring veterinarian (RDVM) satisfaction.

Client, Patient, and Surgical Service Coordination

• Answer incoming calls for all Surgical Services and RDVM lines, ensuring timely and professional communication.
• Monitoring Surgical Services emails for client and RDVM correspondence; answering client questions, directing them to the onsite surgery service or to come in through the ER as needed
• Act as a liaison between clients, referring veterinarians, staff surgeons, surgical residents, and nursing teams.
• Schedule, confirm, and audit appointments, procedures, and surgeries across all Surgical Services.
• Maintain and manage surgical waitlists in coordination with service leads.
• Ensure all outside medical records, imaging, and diagnostics are obtained prior to appointments in collaboration with the Surgery Scheduling Coordinator.Provide ongoing updates to inpatient owners and assist with discharge planning.
• Communicate post-operative outcomes to RDVMs and perform client callbacks in alignment with service protocols.
• Present pre-operative and discharge instructions, authorization forms, and review financial estimates with clients as needed.
• Monitoring patients PVLs to ensure charges are accurate, medications are prescribed, etc
• Assist with OR flow and patient support, including basic monitoring, under LVT guidance when on-site.

Operational and Administrative Support

• Maintain accurate patient records, documentation, and appointment logs.
• Support surgical inventory management through monitoring, restocking, and ordering supplies.
• Operate standard administrative and clinical equipment (multi-line phones, printers, EMR systems, fax machines, etc.).
• Collaborate with the surgery management team to identify and implement improvements in scheduling, patient communication, and inter-service coordination.
• Participate in the development and execution of operational quality control initiatives (e.g., callback compliance, communication audits).
• Assist with departmental projects involving data collection, reporting, and documentation process improvements.

Responsibilities include but are not limited to:

• Move furniture (i.e. tables, chairs, file cabinets) up to 50lbs

The successful candidate will provide advanced specialty care, teach and mentor house officers and rotating trainees, and work closely with other specialty and emergency teams to deliver exceptional, compassionate care for animals and the people who love them.

This role is designed for a board-certified or board-eligible dermatologist who thrives in a high-caseload, specialty-referral environment and values teaching and service. The Care Coordinator (Front Desk Office Administrator) works directly with the Internal Medicine service, internal departments, clients, and referral rDVMs to ensure coordinated patient care and smooth communication before, during, and after all consultations, appointments, and procedures. The position is responsible for client and patient registration, intake, discharge, payment collection, and the efficient use of all programs and equipment necessary for seamless client experience. Care Coordinators will provide concierge services by greeting clients and assisting them in navigating the hospital environment. They will effectively triage external and internal phone calls and communications, using strong critical thinking skills to deliver the most efficient and effective response to clients, patients, and rDVMs. The Care Coordinator will also assist with referrals and maintain positive relationships with AMC's referring veterinary partners. Care Coordinators will significantly contribute to the ongoing goal of delivering the best customer service and patient care by supporting the philosophy, mission, and values of Schwarzman Animal Medical Center.

The Animal Medical Center’s world-renowned Cancer Institute is seeking a board-certified or board-eligible Medical Oncologist (ACVIM or ECVIM) with PHD and research experience to join our dedicated oncology team, which includes medical, radiation, and surgical oncology.

The position will be a clinical oncology role with protected research time and flexibility to expand research responsibilities over time. 

In this role, the incumbent will lead our academic research efforts, by developing clinical trials, fostering translational collaborations, and advancing evidence-based oncology initiatives. In parallel, the incumbent will provide compassionate, high-quality clinical oncology care, including diagnosis, staging, chemotherapy, immunotherapy, and palliative care. This individual will also drive the adoption of innovative medical practices and serve as a key advisor to the team on emerging and novel therapies, both currently in practice and those on the horizon of becoming the standard of care.

MSU (Medical Surgical Unit) Veterinary Assistants play a vital role at the Schwarzman Animal Medical Center. They work alongside our veterinarians and veterinary technicians to provide comfort and care for all our patients. Our veterinary assistants help during patient exams, blood sampling, catheter placement, and assist in running point of care laboratory tests. Our veterinary assistants also take radiographs, assist in ultrasound, and even help prepare surgical instruments and operating room set up. As a Client Services Representative (CSR) at the Animal Medical Center, duties will include but may not be limited to keeping accurate medical records, clerical work, client education, and support of the Director of Clinical Services, Client Services Managers, and other team members. This position requires practical knowledge of hospital procedures, policies and services; client and patient treatment protocols; data transcribing and word processing; and the standard procedures, records and terminology used in the veterinary hospital.

CSRs work with the entire AMC team to promote a positive attitude and an environment of patient and client-centered service, continuous quality improvement, compliance with AAHA Standards and other statutory requirements.

Essential Duties and Responsibilities:

• Acknowledge and cheerfully greet all clients and visitors in a professional and timely fashion.
• Proficiently register and check-in new and returning clients and patients and appropriately providing client with and process all forms and other paperwork required for intake and discharge of animals.
• Appropriately triage emergency cases and send follow-up communication.
• Schedule follow-up, reschedule, and cancel patient appointments using Instinct EMR.

These Patience Patient Care Assistants participate in LVT patient rounds, obtain vital signs (temperature, heartrate, respiratory rate, blood pressures), monitor patient status, assist with specialized feedings, comfort care, and husbandry. The Schwarzman Animal Medical Center (AMC) is seeking a Staff Criticalist to join our team of ten that currently work in the Emergency and Critical Care (ECC) Department.

About Emergency & Critical Care at AMC

The AMC is one of the nation’s largest facilities for animal care, research, and education. The state-of-the-art hospital operates 24 hours per day, 365 days per year, with 55,000 patient visits annually. Over 140 veterinarians comprise the professional staff, representing all specialties, and providing a progressive, stimulating, and rewarding working environment.

The ECC Department is currently comprised of ten board-certified specialists in ECC, seven internship-trained emergency doctors, nine residents, 35 licensed technicians (several with their VTS in ECC), and 23 assistants. In our open new-renovated ICU, patients are co-managed by ECC and allied services or managed primarily by the ECC team. Our ER is at the hospital’s center, open 24 hours a day, 7 days a week and has an active caseload of nearly 20,000 visits per year. AMC is the only VETCOT certified, Level 1 trauma center in the region.

The successful candidate will be expected to practice outstanding medicine, to assist in the training of residents and interns, and to contribute to the growth and development of the department internally and the specialty as a whole. The criticalist joining our team will be responsible for inpatient care, as well as participating in daytime and/or swing oversight of interns and residents in our busy ER. Inpatient management is well-supported with regards to LVT care and availability of advanced diagnostics and treatments, including invasive ventilatory support, dialysis, radiation therapy, and interventional procedures. Senior Veterinarians working in the ER share responsibilities of primary case receiving and detailed oversight of interns and residents seeing cases as well. The caseload, resources, and infrastructure are well-suited to individuals who are interested in teaching, collaboration, continuing to learn, and contributing to clinical research in a fast-paced environment.

The Diagnostic Imaging and Radiology Service is critical to the lifesaving work we do at the Schwarzman Animal Medical Center, providing timely diagnosis, prognosis, and treatment planning of diseases in companion animals. As a Diagnostic Imaging technician, you’ll operate our computed tomography (CT) and magnetic resonance imaging (MRI) machines to obtain quality images for our radiologists and other board-certified specialists across the hospital.

Diagnostic Imaging technicians work together as a team to provide the highest quality care to our patients. While one technician is scanning and capturing images, another technician functions as a primary anesthetist and monitors the patient. Our technicians are excellent communicators and collaborators who work with multiple departments at AMC and coordinate multiple imaging procedures each day. Licensed Veterinary Technician working in Internal Medicine (IM) performing Dialysis must be able to perform at a high level of practice with minimal supervision. The role includes assisting internists with appointments, client communication, and collaborating with staff doctors to make daily assessments and procedures run smoothly and efficiently. The Internal Medicine & Dialysis LVT assists with dialysis catheter placement and urinary and scoping procedures. This role will also assist with running Dialysis and extracorporeal therapy treatments. The IM & Dialysis LVT is responsible for routine care and maintenance of the Dialysis suite, including inventory and machine maintenance.

Duties and Responsibilities

• Proficiency in technical skills including venipuncture, IV catheter placement, and monitoring vitals
• Understanding of IM dialysis procedures and set up
• Perform dialysis and extracorporeal therapy treatments on patients
• Manage anesthetic emergencies during procedures
• Support on-call dialysis and extracorporeal therapies
• Maintain sanitation and stocking of the Dialysis Suite and equipment
• Maintain an appropriate inventory of the Dialysis and IM Suite
• Provide routine care and maintenance of all Dialysis and IM equipment
• Work independently under the guidance of Internal Medicine Specialists

Minimum Qualifications

• NYS veterinary technician’s license
• One to two years of experience as an LVT in IM & Dialysis

About Dentistry at AMC

The dentistry suite has 4 workstations each equipped with Midmark Canis Major wet tables and VetPro5000 dental units. Each table has Berchold LED surgical lighting, Mindray anesthesia monitors, large high detail monitors above each table for radiographs, Bair Huggers and electrocautery units. We currently have three modalities for dental imaging including PS-2 direct #2 sensors, a ScanX Duo indirect scanner system with sizes 0-4 plates, and a VetCAT cone beam CT, along with access to the fully staffed radiology department’s ultrasound, plain radiography, MRI and CT capability. The suite is also equipped with a Sirona X-Smart IQ handpiece and a lightspeed Elements motor and handpiece including the full complement of rotary files. The Dentistry Service is busy with a wide range of cases including maxillofacial trauma, orthodontics and oral surgical oncology. The AMC is currently undergoing a $100 million renovation and the new surgical floor will be equipped with an operatory appropriate for performing oral surgeries, opening in 2024.

One of our biggest assets is our ability to collaborate with many specialty services, including 2.5 full time anesthesiologists, a large surgical support staff including a surgical oncologist, as well as the ancillary departments that help improve the quality of care. These departments include 24-hour emergency and critical care, cardiology, oncology, and radiation oncology that utilizes a brand new Elekta Infinity HD LINAC. The AMC is also committed to teaching and research with a large rotating intern and resident presence. The dentistry service currently has one resident per 3-year term.

The Schwarzman Animal Medical Center is seeking a full-time radiation oncologist. The applicant must be board certified or board eligible in radiation oncology and be eligible for licensure in New York State. H1B visa applicants will also be considered.

Job Responsibilities

• Supervising radiation oncology patients
• Instructing and supervising technicians, interns, and residents in radiation oncology
• Providing in-house radiation oncology consultation to other hospital departments for dogs, cats & the occasional exotics case alongside our Exotics and Anesthesia service
• See both new and recheck cases to include taking a history, performing a physical exam, performing a thorough work-up, as well as provide treatment options, relaying side effects, prognoses, and discussing financial concerns.  Cases are typically seen with a radiation oncology resident.

AMC’s Radiation Oncology Team

Radiation Oncology is currently comprised of one full time on site board certified radiation oncologist (Dr. Heather Ashcraft) and one part time hybrid board certified radiation oncologist (Dr. Neal Mauldin), and has the dedicated support of well-trained Licensed Veterinary Technicians and Veterinary Assistants. We also have a full-time, on-site dosimetrist.  With a third Radiation Oncologist we plan to expand our educational options and we plan to increase our support staff team.  AMC's Cancer Institute also includes three board certified medical oncologists and two dedicated fellowship-trained surgical oncologists. Additionally, we have 3 medical oncology residents and and an oncology specialty intern. A highly specialized Interventional Radiology team is also available to assist with our patient care. Together, we can offer individualized treatment plans to meet unique patient and client goals including radiation protocols tailored to specific patient requirements, advanced surgical approaches, interventional radiology techniques and/or chemo and immunotherapy.

Equipment

The AMC is equipped with a brand new Elekta Infinity Linac system with Electron and 6 MV photon capability with variable dose rate capability. The Linac is equipped with an advanced Agility MLC (offering enhanced modulation of dose), a 6 degree HexaPOD couch, a cone-beam CT with integrated 4DCT respiratory gating capability, and a set of SRS cones as a second stereotactic option for planning of very small targets of less than 1 cm. The Linac is integrated with the MOSAIQ OIS for “record and verify” documentation of all planned cases (including manual plans). All computer planning is performed on Elekta’s most recent version of the Monaco computer treatment planning program. All plan QAs are performed on a Sun Nuclear (ArcCHECK) Arc Delivery QA system. The Radiation Oncology department is also equipped with a Strontium probe for the treatment of small surface lesions.

Other available equipment pertinent to radiation oncology includes:

• ProKnow software program (for plan archiving and plan analysis for future research and retrospective studies)
• Philips Intera 1.5T MRI. A new MRI to be installed summer, 2023
• Toshiba Aquilion 64 slice CT scanner
•  An iBEAM evo CT overlay table for proper CT simulation imaging to match the Linac couch
• On site diagnostic radiography and ultrasonography
• On-site IDEXX laboratory as well as point of care analyzers

The Perioperative Clinical educator is part of the clinical education team with a primary focus on training OR assistants and LVTs in all phases of perioperative care. • Support the cleaning and turnover of surgical suites and patient prep areas.
• Communicate clearly and professionally with team members, clients, and referring veterinarians as needed.

Qualifications:

• 1+ years of experience in a specialty or surgical veterinary setting preferred. 
• Must be proficient in-patient handling/restraint
  
• Proficiency with surgical positioning and familiarity with aseptic technique. 
• Ability to work collaboratively in a fast-paced, demanding environment, handling multiple tasks with competing deadlines while paying close attention to details
  
• Knowledge of surgical and operating room equipment operation (Stryker, Arthrex, Storz, Portable x-ray units) and care (including suction, and cautery). 
• Demonstrated ability to provide quality patient care, technical services, and client communication
  
• Ability to work independently as well as part of a team, in a fast past environment, demonstrating a high level of initiative
  
• Must be proficient in-patient handling and monitoring, supportive therapy, treatments, and procedures
  
• Comfort with basic patient assessment and vitals collection. 
• Understanding of basic lab procedures and diagnostic terminology. 
• Strong communication skills, time management, and ability to multitask in a high-paced environment. 
• Must have animal handling experience, and be able to restrain all species
  
• Must have ability to remain composed in stressful and emergency situations
  
• Must exhibit good organizational, multi-tasking, and communication skills
  
• Must be able to follow detailed protocols
  
• Seeks to enhance & develop skills & knowledge
  
• Must neatly and correctly fill out paperwork as necessary
  
• Must be flexible and accommodate shift work in a hospital that is open 24 hours a day, 7 days a week, 365 days a year 

Physical Requirements:

• Must be able to lift 50 pounds
• Able to stand, walk, lift, and bend for extended periods. 
• Comfortable working in a surgical/sterile environment for prolonged shifts.
