Virtual Front Desk Operator (Vet Clinics)

Remote · Monday–Friday, overlapping US Central Time, with reliable availability in the 10am–12pm and 4pm–6pm peak windows · $1,000/month for the first 90 days, then $1,500/month

Some of the clinics we place people with are ready for someone right away. Others aren't yet, and we're building a group of people we already trust so we can move fast the moment a clinic does need someone. Either way, you go through the same process. Your recruiter will tell you plainly which situation applies to you.

What this job actually is

When someone calls a vet clinic, they're often worried about their animal. Your job is to answer fast, figure out what's actually going on, and get them to the right next step, whether that's a booked appointment or telling them to get to an emergency vet right now. You're not diagnosing anything. You're the person who keeps the clinic's front door running smoothly so the vets and techs can focus on the animals instead of the phone.

What you'll actually do

• Answer calls and figure out quickly what each caller actually needs
• Book, confirm, and reschedule appointments accurately in the clinic's practice management system
• Ask a few quick questions on every call to catch symptoms that need urgent attention, and know when to send someone to the ER instead of booking a routine visit
• Follow up on missed calls the same day, so a call that slipped through doesn't turn into a client who books somewhere else
• Log calls and messages in the practice management system so the clinical team has real notes to work from, not gaps
• Flag patterns, like a string of complaints or a scheduling gap, to the clinic before they turn into bigger problems

Requirements

What we're actually looking for

• 1-5 years in customer-facing phone work: hospitality, dental or medical reception, salon coordination, or something similar
• Real hands-on experience using a practice management system, a dialer, and SMS tools
• Comfortable staying calm and clear with someone who's anxious or upset on the phone
• Genuinely fluent in English, spoken and written. Not "good enough," fluent
• Able to reliably work the 10am-12pm and 4pm-6pm Central time windows, five days a week
• Veterinary, medical, or dental front desk experience specifically is a plus, not a requirement

• Internet that doesn't cut out mid-call
• You show up for your shift, every time, on time
• If something's going wrong, a caller escalated, a booking went sideways, you say so before it turns into a bigger problem
• You follow through on what you said you'd do without someone checking in on you

How the process actually works

1. We read your CV. Not a keyword scan, an actual read.
2. A short intro video. Two minutes of you talking is worth more than a page of text. We're checking if you're clear and comfortable on camera, your English skills, and your professional setup (camera, lighting, sound...)
3. A call with a recruiter, about 30 minutes. We'll ask you to walk us through something real you've done, so have a specific example ready instead of a general answer. This is also when your recruiter will tell you clearly whether a clinic is ready for you now or not yet.
4. ScaleSource's training academy built specifically for this role. This isn't a formality. It's where you actually learn the job: the systems you'll use, the red flags to listen for, and how to handle a call that's gone sideways. At the end, you sit a certification test. Pass it, and you're certified to work this role.
5. A reference check. We'll ask for someone who actually managed or worked closely with you, not a character reference.
6. If a client's ready: one interview with them. They make the final call on who they hire, but you don't repeat anything you've already done here.
