TITLE: Victims Services Assistant

FLSA STATUS: FT Non-Exempt

SUPERVISOR: Director of Victims

SALARY: $33,000 - $40,000, depending on experience

JOB DESCRIPTION: Under the direction of the Victims Division Director, this position is responsible for providing administrative support to the Oklahoma Crime Victims Compensation Program and the VOCA Assistance Program in the Victim Services Division.

EDUCATION and EXPERIENCE: Associate degree preferred, although substantial relevant experience may substitute for education at the discretion of the Executive Coordinator.

KNOWLEDGE, SKILLS, and ABILITIES:

  • A minimum of two years of experience in an office environment.
  • Excellent communication skills (oral and written).
  • Excellent adaptability skills.
  • The person in this position will be required to talk extensively to victims of violent crime who may be emotionally distraught. Superb listening skills, patience, and empathy are critical.  In addition, qualified individuals must possess proper self-care techniques to manage stress and have crisis response experience or experience in working with victims of violent crime.
  • Excellent work ethics and interpersonal skills.
  • Four years of experience in a legal or social services related field; or a combination of education in Victim/Survivor Services and experience in the victims field.
  • Self-disciplined with excellent organizational skills.
  • Excellent computer, writing, spelling, data entry, and typing skills.
  • The ability to remain calm with people in crisis and get along with a variety of people from different backgrounds.
  • The ability to learn quickly.
  • The ability to maintain confidentiality and disassociate self from the effects of listening to and reading of graphic crime information.

RESPONSIBILITIES:

  • Answer incoming calls to the victims’ division and redirect calls as necessary
  • Answer general questions from the public regarding the victims’ compensation and assistance programs
  • Assist victim/witness personnel and service providers with claim status information
  • Serve as liaison between Victims Services and the customer support team of the OK VCPMS claims management system
  • Provide technical support to victims for online application procedures
  • Provide technical support to victim-witness staff for utilization of OK VCPMS claims management system
  • Maintain data log of online application portal for Performance Measurement Tool
  • Monitor claim status information to ensure it is updated on the DAC website
  • Inform victims of crime of various resources that may be available to them statewide
  • Provide claim assistance to walk-in visitors
  • Assist with the processing of deposits for the division
  • Monitor statutorily cancelled warrants for reimbursement to the program
  • Perform Criminal/Civil Case Reviews 
  • Maintain monthly VCA reports log and follow up as needed
  • Enter acknowledgment letter responses
  • Process incoming and outgoing mail
  • Scan all relevant incoming mail
  • Save and print submitted online claims
  • Update addresses for victims and service providers
  • Provide backup for claim entry procedures
  • Assist with filing duties
  • Maintain monthly activity log
  • Mail claim forms to victims or victim’s family as requested
  • Mail brochures/posters as requested
  • Review incoming medical bills to determine if a claim on file and forward to advocate or mail Victims Compensation information to the victim
  • Assist with various mailings and perform other duties, as directed 

PHYSICAL DEMANDS AND WORK ENVIRONMENT: While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to sit and reach with their hands and arms and perform repetitive motions with wrists, hands, and fingers. The employee is occasionally required to stand and walk. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this position include close vision, color vision, depth perception, ability to adjust and focus, and the ability to see clearly at 20 feet or more. The noise level in the work environment is usually moderate.
