What You’ll Do:

The role is responsible for coordinating repair and maintenance activities, ensuring smooth communication between customers, the Call Center, and the Sales team. This role involves handling service requests, managing spare parts, supporting installation and withdrawal tasks, refurbishing or rebuilding equipment, and providing sales support. The Service Admin also tracks job progress, ensures timely job closure, and updates repair status in the system to maintain accurate records and customer satisfaction.

Key Responsibilities:

Service Support Activities

• Receive repair requests via the Call Center or Customer System.
• Request and manage spare parts for repair and maintenance activities.
• Follow up on service jobs and ensure proper job closure.
• Coordinate equipment installation and withdrawal activities.
• Perform equipment refurbishment and rebuilding activities.
• Participate in a rotating standby schedule to support urgent customer requests outside normal working hours, including weekends, in accordance with the team's standby roster.

Sales Support Activities

• Support the Sales team with basic CRM activities, including data entry, report extraction, and record updates.

Reporting & Documentation

• Update repair request status in the system on a regular basis.
• Maintain organized service files and customer records.
• Track service activities and prepare team status reports as assigned.

Coordination & Communication

• Collaborate with the Service team, Sales, Finance, Logistics, and Customer Service to support smooth daily operations.
• Support service initiatives and internal communication within the team.

Administrative Support

• Handle general administrative tasks related to service operations.
• Assist with process improvements and help maintain standard operating procedures (SOPs).

Qualifications:

• Bachelor's degree in Business Administration or a related field.
• 1–3 years of experience in service administration, service coordination, sales support, customer service, or administrative roles. Fresh graduates with strong organizational skills are also welcome to apply.
• Experience with Salesforce or other CRM platforms is an advantage.
• Strong organizational skills with excellent attention to detail.
• Good communication and interpersonal skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Proficiency in Microsoft Office applications, particularly Excel.
• Basic English communication skills (both written and verbal).
• Experience working in a multinational company or B2B environment will be an advantage.
• Willingness to participate in a rotating after-hours and weekend standby schedule to support urgent customer requests.
• Immediate availability is highly preferred.
