This position provides purchasing administration and order coordination support for the School of Manufacturing and Automation and the School of Transportation. The role supports approved procurement activities by preparing requisitions, obtaining routine quotations, entering approved purchase orders, tracking orders, maintaining purchasing records, coordinating delivery documentation, and supporting inventory replenishment activities. The work is performed under the direction of the Team Lead and follows established purchasing procedures, vendor agreements, institutional procurement requirements, and manager approval processes.
The Role
1. Procurement Administration and Order Coordination (70%)
- Prepare Banner requisitions, purchasing documentation, and approved purchase order information.
- Obtain routine quotations from approved suppliers and confirm pricing, quantities, account coding, and supporting approvals before processing purchases.
- Track open purchase orders, outstanding deliveries, back orders, shortages, discrepancies, and returns.
- Maintain purchasing spreadsheets, Smartsheet tools, records, supporting documentation, and audit files.
- Communicate order status updates to instructors, staff, vendors, and suppliers.
- Maintain vendor contact information, supplier records, purchasing files, and recurring purchase documentation.
- Coordinate routine communication with suppliers regarding order status, delivery dates, documentation, and product information.
- Monitor stock levels for frequently used supplies and consumables and prepare replenishment recommendations for review and approval.
- Support inventory counts, inventory records, and receiving documentation by matching packing slips, invoices, and purchase orders.
- Assist with Orientation Day purchasing and supply coordination activities.
- Support special projects involving cleanup of purchasing records, inventory reviews, data entry, document preparation, and reporting requirements.
- Perform other related duties as assigned.
