Purpose of Role

Our Resourcing team helps the firm attract and engage talented people by delivering thoughtful, well-organised recruitment across both experienced hire and early careers. From a candidate’s first interaction with Baillie Gifford through to interview, assessment and offer, the team plays an important role in shaping how people experience the firm.

Working closely with hiring teams across the business, Resourcing supports activities ranging from individual experienced-hire processes to high-volume early-careers campaigns and assessment centres. Strong coordination, candidate care and attention to detail help ensure each process runs smoothly and consistently.

As a Resourcing Coordinator, you’ll be central to that delivery. You’ll coordinate interviews and assessment centres, act as a key point of contact for candidates and work closely with Resourcing Specialists, Early Careers Specialists, hiring managers and interviewers to keep recruitment activity moving effectively.

We’re looking for someone with recruitment experience who can get up to speed quickly, take ownership of their work and provide reliable, professional support across a varied workload.

This is a temporary contractor role, joining the Resourcing team until the end of the year to provide additional coordination support across experienced hire and early careers recruitment activity

Responsibilities

Recruitment coordination and candidate experience

  • Coordinates interview and assessment activity across experienced hire and early careers recruitment, managing multiple vacancies, candidates, interviewers and stages at the same time.
  • Supports the delivery of early careers assessment centres and other high-volume selection activity, coordinating candidates, assessors, schedules, materials, rooms and technology to ensure events run smoothly.
  • Acts as a key point of contact for candidates, providing clear, timely information and helping them understand what to expect throughout the process.
  • Builds positive relationships with candidates and represents Baillie Gifford in a professional and welcoming way.

Stakeholder support and operational delivery

  • Works closely with Resourcing and Early Careers Specialists, hiring managers and interviewers to agree schedules, coordinate activity and maintain momentum across live vacancies and campaigns.
  • Manages changes, cancellations and last-minute rescheduling calmly and accurately, keeping candidates and internal stakeholders informed and minimising disruption wherever possible.
  • Coordinates virtual and in-person interview and assessment centre arrangements, including room bookings, technology, materials and candidate accommodations or accessibility requirements.
  • Prepares and issues interview and assessment information, checking all details carefully before they are shared.
  • Coordinates candidate feedback conversations and follow-up activity, and processes recruitment-related administration such as candidate expenses where required.

Quality, data and improvement

  • Maintains accurate candidate and recruitment records, ensuring systems and documentation are kept up to date, and confidential information is handled appropriately.
  • Identifies recurring issues, points of friction and opportunities to improve recruitment coordination, communications and ways of working.
  • Shares learning and contributes practical ideas that make recruitment activity simpler and more effective.

  • A positive candidate experience: candidates receive clear communication, know what to expect and feel well supported throughout the process.
  • Reliable coordination: interviews, assessments and assessment centres are organised effectively and delivered to agreed timescales.
  • Trusted stakeholder support: Resourcing colleagues, hiring managers, and interviewers have confidence in the coordination and follow-through they receive.
  • Responsive delivery: changing priorities and last-minute issues are handled calmly, with sound judgement and appropriate escalation.
  • Accurate records and strong controls: candidate information and recruitment activity are maintained carefully, with appropriate attention to confidentiality and data quality.
  • Continuous improvement: learning from day-to-day delivery contributes to simpler, more effective ways of working.

Your knowledge and experience

  • Previous experience working within recruitment and coordinating all interview and selection activity in a busy, fast-moving environment.
  • Ideally, you would have experience supporting both experienced hires and early-career recruitment, with an understanding of the different coordination requirements and candidate journeys involved in each.
  • Strong organisational skills, with the ability to manage a high volume of activity and competing priorities to agreed timescales.
  • Impeccable attention to detail and a consistent approach to accurate delivery.
  • Experience working directly with candidates or clients, with the confidence to build positive relationships and provide a professional service.
  • Strong written and verbal communication skills, with the ability to communicate clearly with candidates and stakeholders across the firm.
  • Confidence using recruitment systems and technology to coordinate activity and maintain accurate records.
  • Sound judgement and discretion when handling personal, sensitive and confidential information.
  • A proactive approach and an interest in improving processes and ways of working.

The type of candidate we're looking for

We're looking for someone who genuinely enjoys working with people and understands the importance of creating a strong first impression. You’ll be comfortable acting as a visible point of contact for candidates and will take pride in making recruitment processes feel organised, professional and well supported.

You’ll bring previous recruitment experience, ideally across both experienced-hire and early-career recruitment, and be confident moving between individual interview processes, high-volume campaigns, and assessment centre setup. You’ll enjoy building relationships, taking ownership and working collaboratively with Resourcing colleagues and hiring teams.

You’ll be naturally organised, detail-focused and dependable. You’ll respond constructively when priorities shift, communicate clearly and use good judgement to keep activity moving.
