Project Coordinator (Project Coordination & Operations)

About the Role
At Pavago, one of our clients is hiring a Project Coordinator to bring structure, accountability, and visibility across multiple projects and operational workflows.
This is more than an administrative role. You’ll work closely with project managers, leadership, vendors, and internal teams to keep projects on track by managing timelines, coordinating communication, maintaining documentation, and ensuring deliverables are completed on time.
Responsibilities
Project Planning & Coordination
- Maintain project plans using Asana, Trello, Monday.com, ClickUp, or similar tools.
- Track timelines, milestones, dependencies, deliverables, and project status.
- Monitor progress and proactively escalate delays or risks.
- Help teams stay aligned on priorities and deadlines.
Documentation & Reporting
- Prepare meeting agendas, notes, action items, and project status reports.
- Maintain organized documentation in Google Drive, SharePoint, Confluence, or Notion.
- Track project progress, risks, blockers, and operational updates.
Stakeholder Communication
- Coordinate communication between project managers, leadership, internal teams, vendors, and external stakeholders.
- Follow up on tasks, approvals, and deadlines.
- Ensure clear communication and accountability throughout the project lifecycle.
Task & Resource Management
- Monitor task completion, dependencies, workloads, and scheduling conflicts.
- Ensure deliverables remain on track and nothing falls through the cracks.
Risk & Quality Support
- Identify bottlenecks, overdue tasks, and operational risks.
- Maintain risk logs and support quality control before deliverables are completed.
Required Experience & Skills
- 2+ years of experience in project coordination, operations support, or administrative/project support.
- Hands-on experience with Asana, Trello, Monday.com, ClickUp, or similar platforms.
- Strong Excel or Google Sheets skills, including formulas, pivot tables, and trackers.
- Excellent organizational, documentation, and communication skills.
- Strong follow-up, accountability, and time management.
- Comfortable working remotely across multiple stakeholders and time zones.
Nice to Have
- PMP, CAPM, Agile, or Scrum certification (or in progress).
- Experience supporting SaaS, marketing, professional services, construction, or operations-focused businesses.
- Familiarity with Agile workflows and KPI reporting.
