Position Summary
Walker Consultants is seeking a highly organized and detail-oriented Project & Administrative Coordinator to serve as a key resource supporting national client programs and Texas office operations. This role is responsible for project setup, document management, ERP administration, workflow coordination, and maintaining accurate project information across a high-volume portfolio.
The ideal candidate is proactive, adaptable, and able to balance project coordination with traditional administrative responsibilities. Success in this role requires strong organizational skills, attention to detail, and the ability to effectively manage multiple priorities in a fast-paced environment.
Key Responsibilities
National Account Support
- Coordinate project setup and maintenance within the ERP system
- Maintain accurate project records, spreadsheets, client data, and project documentation
- Organize contracts, proposals, reports, and project deliverables
- Support project managers and technical staff with project administration
- Track project status and assist with workload management
- Serve as main point of contact for coordinating project-related communication between multiple offices and departments
- Assist with contract processing, project modifications, invoicing, and project closeout activities
- Monitor project data for accuracy and completeness
- Develop and maintain project tracking logs, reports, and dashboards
- Support administrative processes associated with national account growth and expansion
Office Administration Support
- Assist with meeting coordination, scheduling, and conference room management
- Assist with document preparation, formatting, and distribution
- Coordinate office activities, events, and employee communications
- Maintain office records and administrative files
- May assist with invoice processing, expense reporting, and other accounting-related administrative tasks
- Support proposal and business development activities as needed
- Serve as a backup resource for office administrative functions during peak workload periods or staff absences
- Maintain the professional appearance of the office environment
- Maintain inventory of office supplies and order as needed which may require lifting in excess of 20 pounds
- Responsible for incoming and outgoing mail
- Assist with desk set-ups as needed
Knowledge, Skills & Abilities
- Highly organized and process oriented
- Ability to distinguish and manage large volumes of data, documentation, and deadlines, all similar in nature, while maintaining a high degree of accuracy.
- Strong problem-solving skills
- Ability to identify discrepancies and follow through to resolution
- Comfortable working in a fast-paced environment with changing priorities
- Strong customer service mindset and collaborative approach
- Ability to establish and maintain effective working relationships at all levels of the organization
Qualifications
Required
- 3+ Years of administrative, project coordination, or project support experience
- Exceptional organizational and time management skills
- Strong attention to detail and accuracy
- Advanced proficiency in Microsoft Office Suite, particularly Excel
- Experience working within an ERP or project management system
- Ability to manage multiple priorities and deadlines simultaneously
- Strong written and verbal communication skills
- Ability to work independently while collaborating effectively with multiple teams
Preferred
- Associates degree or higher or equivalent work experience
- Administrative experience within the Architecture, Engineering, Construction, or Consulting industry
- Experience with Deltek Vision, Vantagepoint, or a similar ERP platform
- Experience supporting large client programs or national accounts
- Experience supporting project manager and technical professionals
- Familiarity with project setup, project accounting processes, and contract administration
- Experience coordinating work across multiple offices or geographic regions
Compensation & Benefits
At Walker Consultants, we are committed to maintaining fairness and equity in our pay practices. For this role, the estimated base salary range is $28 – $38 per hour. The final salary offered may vary based on factors such as experience, qualifications, skills, location, internal equity, and other considerations permitted by law.
